About the Opportunity

The Project Coordinator - Power Delivery supports project teams by coordinating the administrative, logistical, and documentation activities required for successful project execution. This role helps maintain project workflows, track milestones, manage records, and facilitate communication among internal teams, clients, vendors, and other stakeholders. The position contributes directly to project efficiency, documentation accuracy, and compliance.

Responsibilities

  • Lead or assist Project Managers with project setup and administrative coordination.
  • Develop and maintain project logs, schedules, financial reports, and status reports.
  • Coordinate client deliverables to ensure consistency, accuracy, and compliance with requirements.
  • Manage project documentation, including contracts, financial reports, RFIs, and Change Orders.
  • Track project milestones, deliverables, and assigned tasks and follow up as needed.
  • Administer internal documentation systems and maintain appropriate version control.
  • Serve as a primary point of contact for project-related administrative inquiries.
  • Collaborate with Procurement and Finance teams on budgets, purchasing activities, and invoice approvals.
  • Assist with data entry for cost reports, timesheets, vendor submissions, and other project records.
  • Facilitate project meetings and distribute agendas, notes, action items, and follow-up materials.
  • Support onboarding of project staff by coordinating required access, documentation, and resources.
  • Identify administrative and logistical challenges and recommend process improvements.
  • Update project dashboards, tracking systems, and reporting tools.
  • Support audits and compliance reviews by compiling, organizing, and maintaining required records.
  • Maintain documentation related to safety, quality assurance, and regulatory requirements.
  • Contribute to the development and improvement of project templates, procedures, and workflows.
  • Monitor the use of shared project resources to ensure alignment with project requirements.
  • Lead administrative coordination for large projects involving multiple offices and stakeholders.
  • Mentor junior staff on project coordination procedures and best practices.
  • Anticipate and escalate risks related to schedules, documentation, deliverables, or compliance.
  • Track deliverable cycles and support timeline, quality, and completeness checks.
  • Adhere to organizational policies, ethical standards, and applicable project requirements.
  • Perform additional duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Minimum of 5 years of relevant post-education experience.
  • Strong understanding of project lifecycles and project coordination practices.
  • Ability to manage multiple priorities independently and meet deadlines.
  • Advanced proficiency in Microsoft Office and project tracking tools such as Smartsheet or Microsoft Project.
  • Experience with documentation management platforms such as SharePoint or Procore.
  • Knowledge of contract, invoicing, procurement, and related administrative controls.
  • Exceptional attention to detail and commitment to data accuracy.
  • Ability to interpret and implement project coordination policies, procedures, and standards.
  • Strong written and verbal communication skills.
  • Experience preparing tailored reports for project stakeholders.
  • Demonstrated ability to identify and implement process improvements.
  • Ability to work effectively across cross-functional teams and stakeholder groups.
  • Strong problem-solving, organizational, and time-management skills.
  • Experience managing documentation for subconsultants, contracts, permits, and related project records.
  • Commitment to maintaining confidential information.
  • Proven experience coordinating medium- to large-scale projects.
  • Ability to lead documentation audits and coordinate data-gathering activities.
  • Willingness to support the development of junior staff.
  • Demonstrated reliability and accountability.
