Project Coordinator
Responsibilities
- Set up all new jobs accurately in internal systems and ensure the delivery team receives complete and correct documentation.
- Complete project information forms (PIF) and maintain organized project records.
- Print job photos and all pertinent site documents, using double-sided printing and consolidating pages where appropriate.
- Update the awarded tab in the proposal spreadsheet to reflect new projects.
- Transfer project budgets from estimating to accounting to enable proper financial tracking.
- Notify the office team via email when contracts are awarded and provide key project details.
- Contact clients to communicate tentative project schedules and set expectations clearly.
- Follow standard scheduling protocols, including daily and weekly client communication.
- Update the scheduling calendar daily to reflect current and upcoming work.
- Communicate with the superintendent daily to confirm proper scheduling and sequencing of jobs.
- Evaluate potential increases in Pro Xpress work and identify the need for additional crews, coordinating with the operations manager to plan required resources.

About the Role
The Project Coordinator plays a central role in supporting service-based construction operations by coordinating project setup, scheduling, client communication, sales support, and billing activities. This position ensures that jobs are accurately established in internal systems, that field teams have the documentation they need, and that clients receive timely updates throughout the project lifecycle. The role also supports master service agreement (MSA) clients, assists with operational planning, and helps maintain high standards of safety, quality, and customer satisfaction in a fast-paced, restoration-focused environment.
