What You'll Be Doing
- Preparation of registration and pre-qualification, bid documents, bond orders, project documents, and project closeouts.
- Create and track project submittal packages.
- Provide support to both sales and operations teams.
- Cook daily schedule changes to address customer and company needs.
- Track and report on change orders and project closeouts.
- Assist with project billing and status reviews.
- Aid project manager with material requisition, tracking, and delivery.
- Cook and maintain project material delivery schedule.
- Maintain a log of back ordered material with expected deliver dates.
- Cook between solutions and service departments to ensure a smooth handover of projects.
- Maintain a master list of company-supplied tools for each solutions technician.
- Cook with purchasing for any replacement or additional tools required.
- Aid operations manager with accounts receivable issues.
- Track and submit for Project Permits.
- Participate in monthly WIP meetings and take notes and distribute action items.
- Aid with various administrative tasks as needed.
Qualifications
- A high school diploma or equivalent.
- One to two years of construction administrative assistant experience preferred.
- Intermediate computer skills, including Microsoft Office, required.
- Excellent customer service and follow up skills.
- Strong organizational skills.
- Possess sound decision-making skills.
- Ability to encourage and motivate people with a positive attitude.
- Ability to escalate difficult inquiries or problems to managers.
- Strong communication and reading skills, along with excellent organizational abilities.
- Ability to complete projects independently.
- Reliable transportation, driver’s license, insurance.
