Primary location: Long Bridge Project, Crystal City, VA. Travel to the project site is required. This is a safety-sensitive position requiring work on construction sites with various safety hazards inherent in heavy construction. Subject to drug testing and compliance policies associated with our status as a Federal Contractor.

About the role

We are seeking a Project Document Control Administrator to join our Wagman Heavy Civil, Inc. team. Reporting to Project Supervision, this role assists the entire project team with project documentation, including organizing and processing a variety of company and owner documents for a large design-build construction project. This position supports the completion of the Long Bridge construction project and helps ensure all plans move forward to meet projected deadlines.

Responsibilities

  • Organize and process company and owner documents, including designer documents, design changes, transmittals, submittals, RFIs, and manage multiple tasks with shifting priorities and deadlines.
  • Manage the Kahua Document Control system and ensure version control of design drawings and specifications to prevent outdated information from being used.
  • Coordinate and follow up on various documents with owners, contractors, home office support departments, and field personnel.
  • Provide training and assistance to field supervisors and office staff on document flow, procedures, employee sign-up documents, and payroll record reviews.
  • Handle varied responsibilities encompassing projects from beginning to end and perform additional assignments as directed by supervisors.

Requirements

  • Bachelor’s degree or 5 years of related office management experience.
  • Minimum of 5 years of office management experience.
  • Proficiency in Microsoft Excel, Word, and electronic document management systems such as Kahua, Procure, or Aconex (experience with additional software and prior work in construction is preferred).
  • Valid driver’s license and reliable transportation.
  • Excellent verbal and written communication skills.
  • Strong prioritization, organizational skills, and attention to detail.

Physical Requirements

  • Must be able to lift up to 30 pounds from ground level to waist level.
  • Must be able to bend, squat, and kneel occasionally throughout a scheduled work shift.
  • Must be able to climb ladders.
  • Continuous standing and walking required throughout a scheduled work shift.
  • Must be able to perform simple grasping and fine manipulation tasks with both hands.
  • Must be able to work outdoors in wet, muddy, cold, hot, and humid weather.
  • Acceptable corrected vision (in both eyes) and hearing required.
