About the role
We are seeking an organized and detail-oriented Project Administrator to support construction and real estate consulting projects from initial setup through final delivery. This position works closely with project teams, clients, and outside stakeholders to keep projects organized, accurate, and on schedule.
Responsibilities
- Set up new projects, maintain electronic files, and enter project information into CRM/project-management systems.
- Review contracts and client requirements to identify project-specific guidelines and deliverables.
- Coordinate site visits, request documentation, track deadlines, and communicate with clients and project teams.
- Conduct basic property and government research and organize supporting project documentation.
- Assist with report preparation, including formatting content, photographs, spreadsheets, and other supporting materials.
- Proofread and quality-check reports for accuracy, consistency, grammar, and formatting.
- Prepare final PDF deliverables and distribute documentation to appropriate parties.
- Generate and submit project invoices.
- Provide general administrative and office support as needed.
Requirements
- Strong organizational skills with exceptional attention to detail.
- Excellent written communication, proofreading, editing, and formatting abilities.
- Ability to manage multiple projects, clients, deadlines, and changing priorities simultaneously.
- Professional communication skills when interacting with clients and outside parties.
- Comfortable conducting online and telephone research.
- Able to work independently while collaborating effectively with project teams.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Experience with Teams, Dynamics 365, PowerPoint, Bluebeam, or Box is a plus.
- High school diploma or equivalent required.
- Flexibility to work occasional overtime when project demands require it.
Pay
$60,000 - $65,000 per year
Schedule
Hybrid – 2 days in office / 3 days remote
