Project Admin Assistant (local)
Overview
Responsible for performing a variety of administrative functions supporting the on-site project management team.
Responsibilities
- Greet visitors and direct them accordingly
- Provide excellent customer service to both internal and external clients
- Communicate messages to the appropriate parties in a timely manner
- Handle incoming and outgoing mail
- Assist with copying and scanning as needed
- Maintain tracking and reporting spreadsheets needed for the project
- Maintain an adequate amount of office supplies
- Assist with project errands and food deliveries
- May support with data entry in various systems (i.e. Salesforce)
- Partner with the IT department to help users troubleshoot onsite equipment issues (computers, copy machine, scanner)
- Serve as a champion of the Company’s safety culture
- Other duties as assigned
Qualifications
- Education and Work Experience Requirements: High school diploma or equivalent preferred
- One year of experience in office support or administrative role
Knowledge, Skills and Abilities Required
- Take reasonable care of your own and others’ health and safety and of those who may be affected by the day-to-day delivery of this role by taking personal responsibility for working toward the Company’s Zero Injury principles
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint, Teams, etc.)
- Ability to meet deadlines
- Strong organization and multitasking skills to manage various responsibilities simultaneously
- Excellent attention to detail and ability to maintain accurate records
- Strong verbal and written communication skills
- Ability to work collaboratively with all levels of the organization
Working Environment
- When visiting jobsites, the work environment involves some exposure to hazards or physical risks, which require following basic safety precautions
- This work environment may involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors and/or loud
