Responsibilities

  • Assign project numbers for new entries in Customer Relationship Management (CRM) and set up project numbers with open SharePoint sites; send details to the Project Manager.
  • Obtain Sales Tax Exemption certificates for new customers or vessels.
  • Open and close projects in the Jamis Prime ERP system (Prime) and maintain project documentation, including customer purchase orders and prejob budgets.
  • Set up project budgets in Prime, run the Cost Summary Report to confirm accuracy, and update budgets as work scopes change.
  • Coordinate with other facilities for shared projects, including confirming item set-up and budgets.
  • Assist Project Managers with ongoing project reporting, cost review, and cost correction, including preparing Earned Value Reports for fixed-price projects.
  • Monitor actual costs against budgeted costs and notify Project Managers of potential issues.
  • Respond to customer requests for additional information and attend project meetings as needed.
  • Process customer billings using Prime and Microsoft Excel; for Time & Material (T&M) and Cost-Plus projects, accumulate supporting documentation (e.g., signed timesheets) to attach to invoices.
  • File customer billings with appropriate backup in SharePoint and Prime.
  • Process revenue for month-end and document revenue calculations.
  • Contact customers to collect outstanding invoices and assist with customer questions.
  • Attend weekly collections meetings to update management on the status of unpaid invoices.
  • Assist in the preparation and update of Project Cash Flow forecasts.
  • Perform other duties as assigned.

Requirements

  • High school education or equivalent; some college courses in business, Accounting, or Finance preferred.
  • Five years of billing, accounting, or equivalent experience required; experience in an environment using Job Cost Accounting preferred.
  • Computer literate with advanced skills in Microsoft Office (Word, Excel, Outlook) and experience with accounting software.
  • Excellent interpersonal and communication skills.
  • High performance and a strong team player with a commitment to company values.
  • Ability to function under pressure in a fast-paced environment and meet deadlines.

Working Conditions

  • Mobility to work in a standard office setting, use standard office equipment, and attend meetings at various sites.
  • Mobility to climb up and down stairs as needed throughout the day.
  • Ability to work every weekday from 8 am to 5 pm and on weekends as needed.
  • Strength to lift and carry materials weighing up to 20 pounds.
  • Vision to read printed materials and a computer screen, including the ability to look at a computer for at least eight hours daily.
  • Hearing and speech to communicate in person and over the telephone.
  • Regular exposure to all weather conditions, especially hot, humid, and rainy weather, combined with indoor work in environmentally controlled conditions.

Skills

  • Proficient operation of office equipment, including telephone, scanner, computer, and printer.
