About the role

The Program Specialist III serves as the critical bridge between the School’s Office of Faculty Affairs & Professional Development and the School’s affiliated teaching hospital and ambulatory clinical partners.

Responsibilities

  • Cross-Institutional Liaison - Acts as the primary administrative link between the School of Engineering Medicine Office of Faculty Affairs & Professional Development and the School’s affiliated teaching hospitals and ambulatory clinic leadership and staff.
  • Portal Management & Onboarding - Serves as the functional expert for the School’s Clinical Affiliate Faculty Portal, guiding faculty through the end-to-end application process.
  • Compliance Monitoring - Monitors and enforces the completion of required modules, including FERPA training, HIPAA compliance, and other medical school/hospital-specific orientations.
  • Data Integrity & Reporting - Audits the portal regularly to ensure data accuracy and prepare status reports for the Assistant Dean of Faculty Affairs and Professional Development and Associate Deans of Clinical Affairs.

Requirements

  • Required Education And Experience: Bachelor’s degree or any equivalent combination of training and experience. Four years of experience in higher education administration, medical staff services, or healthcare credentialing.
  • Preferred Qualifications: Bachelor’s or Master’s degree. Four years of experience in faculty affairs in a higher education setting.

Qualifications

  • Knowledge, Skills, And Abilities: Ability to balance priorities, manage a high volume of moving parts, anticipate bottlenecks, take full responsibility for "Active Status" records, multitask, use spreadsheet, presentation, and word processing applications, communicate verbally and in writing, interact professionally with high-level clinical faculty and executive leadership, and maintain attention to detail and utilize sound judgment.

Skills

  • Advanced proficiency in navigating and managing customized database portals and CRM systems.
  • Strong working knowledge of FERPA and the importance of maintaining confidentiality within faculty personnel files.
