About the role

The Office of the University Provost at Arizona State University (ASU) is seeking a Program Manager to provide essential operational and administrative leadership that enables the Learning Technology team to advance ASU’s teaching and learning innovation agenda, including initiatives aligned with emerging technologies and AI-related priorities.

Responsibilities

  • Event Logistics & Management: Under the direction of Learning Technology & Innovation leaders, manages hands-on planning, scheduling, and execution of faculty and learning design engagement events, including FOLC Fest and Learning Design Summer Camp; manage event budgets, venue negotiations, catering, AV, and on-site logistics; support ASU’s AI Presidential Priority events and programming; develop timelines, communication plans, speaker support, and post-event feedback surveys.
  • Vendor Visit Management: Organize learning technology vendor visits by managing the vendor visit request process, aligning with internal stakeholders, building visit schedules, and handling all meeting logistics, including room reservations, hybrid setup, and follow-up communications.
  • Administrative & Communications Support: Manage purchasing, invoice processing, and procurement requests in accordance with ASU policies; maintain shared document systems, templates, and records; draft announcements, newsletters, and event communications; set up and monitor event registration systems.
  • Leadership & Workgroup Support: Provide project management and administrative support for Learning Technology workgroups and leadership meetings; coordinate schedules, agendas, and meeting documentation; capture and distribute notes and action items; develop slide decks and communications to ensure continuity and accountability.
  • Operational Systems Management: Organize team priorities, proposals, timelines, and deliverables; develop and maintain standardized workflows, tracking systems, and documentation; maintain project-tracking tools and reporting for leadership, including coordination and visibility for AI-related and emerging technology initiatives.

Qualifications

  • Bachelor's degree and five (5) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Technical Skills: Proficiency with event management and operational platforms such as Google Workspace, Microsoft Office, Airtable, Stova, Qualtrics, Zoom, Workday, and ServiceNow.
  • Project Management: Experience applying project management methodologies and tools to plan, track, and report on concurrent initiatives across cross-functional teams.
  • Flexibility: Ability to quickly shift priorities and manage competing demands in a fast-paced, dynamic environment.
  • Cross-functional Collaboration: Experience supporting cross-functional workgroups, committees, or institutional initiatives.
  • Higher Education: Experience in higher education, education technology, or faculty development programs.
  • Learning Technology: Knowledge of learning technologies, instructional design, or faculty engagement initiatives.
  • Emerging Technology: Exposure to AI-enabled tools, platforms, or technology initiatives.
