Program Coordinator Scheduler

Harborview - 6NJB Foot, Ankle and Hand Clinics is seeking a Program Coordinator/Scheduler.

About the Role

Harborview Medical Center, the region's only Level I trauma and verified burn center, is a comprehensive healthcare facility owned by King County and operated by UW Medicine. This role supports clinic operations, patient advocacy, and coordination of disability claims and medically-required work restrictions.

Responsibilities

• Coordinate patient entry and flow through the healthcare system related to disability claims.
• Complete all paperwork and correspondence for patients’ medically-required absence from work or work restrictions (e.g., post-surgery).
• Serve as patient advocate during clinic sessions, coordinating care services with physician visits.
• Create and adjust clinic-specific policies, procedures, or workflows as state/payor regulations evolve.
• Interview patients to assess concerns and anticipated needs for follow-up appointments with physicians and outside agencies.
• Ensure treatment recommendations and continued care outcomes are communicated to outside consultants.
• Complete necessary forms and billing documentation for revenue collection.
• Collect and report statistics on disability claims volume, types, and revenue, as well as FMLA cases (medically-necessary absence from work).
• Monitor budget, including correct L&I billing, reimbursement figures, and patient spend-down accounts.
• Act as a resource and technical consultant to physicians, RNs, and the care team regarding disability claim needs.
• Compose correspondence and record patient information in charts.
• Complete disability and FMLA forms in a timely manner.
• May direct the work of others.

Within 6 months of hire, the new hire must also:

• Participate in COHE training.
• Attend an L&I orientation at L&I headquarters in Tumwater.
• Spend 4 to 8 hours shadowing an experienced HSC at another COHE.
• Obtain an L&I Provider Number to bill for their time.

Requirements

• High school graduation or equivalent.
• Two years of experience in the program specialty or equivalent education/experience.

Equivalent education and/or experience may substitute for minimum qualifications except when legal requirements (e.g., license, certification, registration) apply.

Desired Qualifications

• Orthopedic knowledge preferred.

Schedule

• Full-time, 100% FTE (40 hours per week).
• Day shift: Monday–Friday, 8:30 AM–5:00 PM.

Pay

Pay range: $23.41 – $33.47 hourly.
