Program Associate
Job Responsibilities
- Draft and prepare correspondence, memos, and program communications on behalf of leadership as needed
- Manage leadership calendars, including scheduling, logistics, and coordination of internal and external commitments
- Lead meeting preparation by scheduling, coordinating logistics, and assembling and distributing materials
- Document meetings, track action items, and support timely follow-up and execution of next steps
- Order supplies and manage program inventory, including Narcan and inspection-related materials
- Oversee all aspects of travel planning, including logistics, registrations, and expense management
- Process vendor invoices and complete credit card reconciliations for Department Directors
- Track program activities, milestones, and training certifications to support FHP compliance requirements
- Support external communications, including responding to program inquiries and coordinating with vendors and funders
- Maintain tracking of grievance and legal cases, manage documentation, and support communication and follow-up
- Perform special projects and duties as assigned to support departmental and program needs
- Data entry and reporting: Reviewing applications, entering data into Salesforce and regional HMIS system, along with accessing Managed Care Systems, and collaboratively producing monthly, annual, and ad-hoc funder requested reports.
Requirements
- Professional Experience: Experience in providing administrative support to leadership positions or programs
- Knowledge of or experience in non-profit human services. Experience with homeless, veteran and/or developmentally-disabled populations a plus
- Knowledge, Skills, And Abilities: Demonstrated writing, data entry and researching skills, Excellent organizational, communication, and planning skills, High degree of attention to detail and the ability to manage multiple deadlines efficiently and simultaneously in a fast-paced environment, Solid team player who is able to work well collaboratively on projects and under pressure, Proficiency in common word processing, desktop publishing, and database software applications, including Microsoft Office, Demonstrates the necessary attitudes, knowledge and skills to deliver culturally competent services and work effectively in cross-cultural situations, A strong work ethic, with a desire to go above and beyond standard expectations, Impeccable judgment, including a high level of discretion when handling confidential materials, Graphic and document design

Physical Requirements
- Candidates should have physical mobility for tasks such as standing, bending, stooping, kneeling, crouching, reaching, twisting, and walking on uneven surfaces
- They should be capable of performing stationary tasks like sitting for up to 6 to 8 hours a day
- Additionally, candidates should be able to lift, carry, push, pull light to moderate weights up to 15 pounds safely
- Requires mental acuity for analytical reasoning and document interpretation
Salary and Benefits
Salary range for this position is $27.88 to $36.29 annually. This position is being offered at $27.88 per hour.
