About the role
We are seeking a highly organized and detail-oriented Production Operations Coordinator to support fast-paced merchandise production and fulfillment operations. This role is responsible for managing purchase orders, tracking production timelines, coordinating shipments, maintaining ERP records, and ensuring products move efficiently from vendors and factories to fulfillment centers and customers.
Responsibilities
- Manage purchase orders throughout the production lifecycle, from creation through final delivery.
- Track production status, work-in-progress (WIP), inbound shipments, and inventory movements.
- Maintain accurate records within ERP systems, shared drives, and reporting tools.
- Coordinate inbound and outbound shipments with vendors, factories, warehouses, and 3PL partners.
- Process goods receipts and verify packing lists, invoices, and shipment documentation.
- Schedule and coordinate product inspections with suppliers.
- Create shipment documentation and communicate shipment updates to internal stakeholders.
- Partner with Finance to support invoice processing and billing activities.
- Monitor on-time delivery performance and proactively address delays or discrepancies.
- Collaborate with Product Development, Logistics, Finance, and Brand teams to resolve operational issues.
- Support reporting, process improvements, and production planning initiatives.
Requirements
- Experience managing Purchase Orders (POs) throughout the production or supply chain process.
- Experience in production coordination, supply chain, logistics, operations, or order management.
- Advanced Microsoft Excel skills, including VLOOKUP/XLOOKUPs and Pivot Tables.
- Experience using an ERP system such as Microsoft Dynamics/Navision, SAP, Oracle, NetSuite, or similar platforms.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and vendor management skills.
Preferred Qualifications
- Bachelor’s degree preferred.
- Experience in apparel, fashion, retail merchandising, consumer products, e-commerce, or manufacturing environments.
- Experience with Monday.com or similar project management tools.
- Familiarity with inbound logistics, fulfillment operations, and inventory management.
