Pre-Award Grant Coordinator
This is a full-time (100% FTE), permanent, overtime-eligible position.
About the role
In this role, you will be responsible for managing pre-award activities for the College of Agricultural, Human, and Natural Resource Sciences within the Grants Team, using your knowledge of grant and contract management rules and regulations, technical expertise, and analytical skills. You will contribute information and ideas related to your areas of responsibility as part of a cross-functional team and perform pre-award activities while ensuring effective and efficient workflow and adherence to quality standards for faculty and staff.
Responsibilities
- Assist departmental faculty and Principal Investigators (PIs) in the development, preparation, and submission of grant and contract proposals.
- Ensure all applications meet agency and university guidelines and published timetables and deadlines, including management of the Just-In-Time process.
- Ensure proposals are entered and routed in a timely manner for further review.
- Confer with PIs and pre-award support staff at collaborating institutions to secure necessary sub-award documents for proposals.
- Assist PIs in the development of budgets and budget justifications, including proofing budgets for inconsistencies and ensuring accuracy.
- Review budgets for consistency with sponsor requirements.
- Monitor compliance with agency and university regulations regarding submission.
- Verify all financial information, including application of the appropriate overhead rate for each project.
- Advise PIs on administrative requirements related to proposal submissions and on budget adjustments and revisions necessary to meet sponsor requirements.
- Coordinate and review proposal elements, including biosketches and facilities and resources documents, for consistency, accuracy, and completeness.
- Review proposals for consistency with sponsor guidelines regarding budgets, format, font size, and page limits, excluding narrative content.
- Obtain and review sponsor guidelines as needed.
- Monitor and facilitate the proposal process through routing in compliance with university procedures and institutional signature requirements.
- Obtain signatures as needed.
- Work effectively with other offices, including central, school, department, division, and RAS units, on research proposals.
- Prepare high-quality written documents, analyze data and formulate conclusions.
- Review and process award documents through the routing process in compliance with university procedures.
- Provide training to individuals throughout the college responsible for grant post-award management.
- Perform related responsibilities as required.
Requirements
- A Bachelor's degree, which includes 18 quarter or 12 semester hours in accounting, auditing, or budgeting or (2) years of relevant professional experience, or equivalent education/experience.
Preferred Qualifications
- Demonstrated grants administration or grants/contracts experience in which developing, monitoring, and ensuring outcomes/compliance was required.
- Demonstrated understanding of grant agreements and compliance requirements.
- Demonstrated ability to develop and meet goals and deadlines.
- Exceptional English written and oral communication skills.
- Ability to use automated spreadsheets and other tools for financial analysis and reporting.
- Strong interpersonal skills with ability to maintain positive working relationships with others.
Pay
Monthly Salary: $5,240 to $6,870 (Range 55). Successful candidates are typically hired at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28.

Schedule
This is a 12-month, full-time position. Work location is hybrid (Pullman, WA).
This position requires a background check due to access to children or vulnerable adults, engagement in law enforcement, security clearance requirements, or other business-related needs as defined by RCW 74.34.
