About the role
The Patient Access Services Pre-Arrival Specialist, through the use of computerized scheduling software and departmental phone system, is responsible for scheduling appointments; performing pre-certification and authorization as needed; completing benefit collection; and completing other pre-registration functions for outpatient procedures as requested by patients and physician offices. The Pre-Arrival Specialist ensures that calls are answered timely and professionally; that correct patient demographic information is captured; that data integrity of such information is maintained; and that appointments are scheduled at appropriate times, as set forth by the individual departments and that result in the best use of department resources.
The Patient Access Services Pre-Arrival Specialist must be familiar with pre-procedure preparations and able to communicate this information properly to the patient/guardian and/or the physicians’ office. The Pre-Arrival Specialist will work closely with departmental nurses or staff to communicate any scheduling conflicts that may arise. The Pre-Arrival Specialist will work with Patient Access Registration Specialists and Financial Counselors to facilitate the pre-registration of scheduled patients.
Responsibilities
- Schedule appointments using computerized scheduling software and departmental phone system
- Perform pre-certification and authorization as needed
- Complete benefit collection and other pre-registration functions for outpatient procedures
- Answer calls timely and professionally
- Capture and maintain correct patient demographic information
- Schedule appointments at appropriate times to optimize department resources
- Communicate pre-procedure preparations to patients/guardians and physicians’ offices
- Collaborate with departmental nurses or staff to resolve scheduling conflicts
- Work with Patient Access Registration Specialists and Financial Counselors to facilitate pre-registration of scheduled patients
Requirements
- High school diploma or equivalent required; some college preferred
- Certified Healthcare Access Associate (CHAA) or Certified Revenue Cycle Representative (CRCR) preferred
- Must complete de-escalation training by the end of position orientation (90 days)
- Experience in a hospital or physician office setting performing registration, scheduling, insurance verification, and/or customer service preferred

Physical Demands
- Moderately active work: involves sitting with frequent movement about the office and facility, including travel within the SRHS service area
- Exerting negligible force to lift, carry, push, pull, or move objects, including the human body
- Repetitive motions: substantial movements of wrists, hands, or fingers while operating office equipment like a computer keyboard
- Ability to perceive sound at normal speaking levels with or without correction
- Close visual acuity to adjust focus between a computer monitor and printed material
- Ability to remain active for extended periods without undue fatigue
- Exposure to body fluids, sputum, and tissues, which may carry infectious disease hazards
- Flexibility to work assigned schedules, including potential changes for off days, shifts, or weekends as needed by the hospital
