Practice Operations Supervisor - Cardiology

Responsibilities

  • Oversee daily front desk and clinical support operations to ensure efficient clinic workflow and high-quality patient care.
  • Monitor patient scheduling, registration, insurance verification, referrals, and check-in/check-out processes.
  • Ensure Certified Medical Assistants (CMAs) maintain appropriate clinical workflows, room turnover, stocking, cleaning protocols, and documentation standards.
  • Cook up staffing schedules, workflow assignments, and coverage to support operational and patient access needs.
  • Monitor operational performance metrics and identify opportunities for workflow and process improvement.
  • Support revenue cycle operations by ensuring accurate documentation, working the charge review WQ (12169) in EPIC, and reduction of scheduling or registration errors.
  • Maintain operational readiness of patient care areas, equipment, and clinic supplies.
  • Participate in process improvement initiatives and support achievement of organizational performance targets.
  • Avoid performing additional duties as assigned to support departmental and organizational operations.

Requirements

  • Supervise front desk staff and Certified Medical Assistants (CMAs), including performance monitoring, coaching, and accountability.
  • Assist with onboarding, training, mentoring, and development of administrative and clinical support staff.
  • Conduct regular team huddles and staff meetings to communicate workflow updates, departmental expectations, and organizational initiatives.
  • Promote a collaborative, professional, and patient-centered work environment.
  • Address and escalate staff concerns, performance issues, and operational challenges as appropriate.
  • Support staff engagement, teamwork, and adherence to customer service standards.

Qualifications

  • Bachelor's degree or equivalent in education and experience, plus three years of related experience required.
  • Excellent organizational, prioritization, and time management skills with the ability to manage multiple competing responsibilities in a fast-paced environment.
  • Strong leadership, interpersonal, and team development skills.
  • Excellent verbal and written communication skills with the ability to interact professionally with patients, providers, staff, and leadership.
  • Ability to maintain professionalism, discretion, and confidentiality at all times.
  • Strong problem-solving and decision-making abilities with attention to detail and operational efficiency.
  • Ability to work collaboratively and effectively within a multidisciplinary healthcare team.
  • Demonstrated ability to coach, mentor, and hold staff accountable to performance and service standards.
  • Strong customer service skills with the ability to manage escalated patient and staff concerns professionally and effectively.
  • Ability to adapt to changing priorities, operational needs, and organizational initiatives.
