About the role

The Practice Manager - Operations I is responsible for the day-to-day operations of one or more medical practices, overseeing practices with fewer than five physicians generating less than $2.5 million in total charges annually. The manager ensures a safe, efficient, cost-effective, and high-quality patient care environment while recruiting, hiring, and training clinical and clerical staff. Supervision and evaluation of clinical staff are shared with physicians and Erlanger nursing leadership.

This role involves a team-based approach to care, coordinating patient care, supporting self-management and behavior change, and managing the practice’s patient population. The manager participates in quality improvement processes and performance evaluations.

Responsibilities

  • Oversee daily operations, including registration, cash collection, charge preparation, medical record documentation, referrals/authorizations, and insurance/coding processes.
  • Hire, terminate, and conduct annual competencies and disciplinary processes for staff.
  • Promote teamwork and ensure smooth daily operations while maintaining superior customer service.
  • Develop capital and operational budgets in collaboration with the Director and monitor monthly variances.
  • Maintain and reconcile petty cash, accounts payable, and timekeeping.
  • Support general practice operations as directed by the Director and physicians.
  • Maintain standards set by TJC/DNV and coordinate quality improvement initiatives.
  • Ensure compliance with CAP (College of American Pathologists) and CLIA (Clinical Laboratory Improvement Amendment) certifications, if applicable.
  • Analyze clinical and financial statistics, oversee billing and collections, and optimize patient flow.
  • Facilitate open communication, professional excellence, and superb customer service.
  • Act as a role model, holding staff accountable for efficient and effective operations.

Requirements

  • Bachelor’s degree in Business or a related field, or equivalent management/work experience.
  • Minimum 3–5 years of experience in business management, with a strong financial, systems, and marketing background.
  • Working knowledge of physician office practices, managed care operations, and the insurance industry.
  • Advanced PC skills, including proficiency in Microsoft Office (Word, Excel).
