About the role
Miller Johnson, a rapidly growing Midwest law firm known for its entrepreneurial spirit, down-to-earth culture, and deep-rooted commitment to the communities we serve, is looking for a Practice Coordinator to support our Labor and Employment Practice Group in our Grand Rapids and Kalamazoo offices. In this role, you will provide essential administrative support to practice group leadership to ensure efficient practice group operations.
Responsibilities
- Support practice group leaders in managing daily operations and strategic initiatives.
- Coordinate practice group meetings, agendas, materials, and follow-up action items.
- Assist with implementation and communication of firm-wide policies and initiatives.
- Review, audit, monitor, and provide follow-up support and reminders related to key firm and practice group metrics, processes, and deadline compliance, including:
- Monthly reporting including billable hours, accounts receivable, realization, collections, and delegation.
- Month-end time entry deadlines.
- BIM processing deadlines.
- Conflict checks, engagement letters, and opening/closing matters in collaboration with legal administrative assistants and the Accounting Department.
- Facilitate and monitor practice group budget planning and accountability (e.g., practice group profit and loss or similar); review and approve practice group expense reimbursements in accordance with prescribed guidelines.
- Prepare and distribute monthly practice group newsletters in collaboration with practice group chairs.
- Serve as the point person for the Marketing Department to facilitate practice group pitch materials, marketing materials, and attorney website bios.
- Partner with practice group leadership and Director of Attorney Recruiting & Development, as needed, to coordinate and support practice group associate training.
- Support the Attorney Recruiting & Development Department and practice group leadership in the administration of associate performance reviews by monitoring deadlines, coordinating communications, and following up with attorneys regarding completion of required review activities.
- Serve as the point person to Human Resources and Attorney Recruiting & Development Departments to facilitate practice group recruiting.
- Serve as the primary practice group point of contact for attorney onboarding and integration activities, particularly for lateral attorneys joining the firm with an existing book of business, coordinating operational aspects of the transition with practice group leadership and internal departments.
- Coordinate and support attorney departures, working closely with practice group leadership and firm departments to facilitate client, matter, workflow, and administrative transitions and ensure compliance with firm procedures.
- Coordinate special projects as assigned.
- All other duties as assigned.
Requirements
- Associate’s degree required; Bachelor’s degree preferred.
- 5+ years of experience in legal administration, practice group support, or a similar role.
Skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent communication (written and verbal), interpersonal, and relationship skills.
- Exceptional client service skills, with discretion and judgment to ensure client confidentiality.
- Ability to be flexible and work collaboratively in a fast-paced, fast-growing, service-oriented environment.
- Proactive, organized, detail-oriented with ability to manage multiple tasks simultaneously, moving projects forward and meeting deadlines.
