About the role

The Point of Care Scheduling Program Team Lead provides operational and administrative support for the AVP and PoCS managers. This role serves as a central point of contact for team members, ER leadership, practice managers, network operations leaders, and other key stakeholders.

Responsibilities

  • Maintain the team staffing tool, including uploading and adding new staff and ensuring staffing information remains current and accurate.
  • Cook up and assist with scheduling candidate interviews and other recruitment-related activities.
  • Support staffing coverage needs, including identifying and coordinating weekend coverage when additional support is needed.
  • Organize and maintain team calendars, including meetings, training sessions, coverage needs, important deadlines, and other program activities.
  • Serve as the team's Scrub Workwear point person, assisting staff with scrub/workwear-related questions, coordination, and needs.
  • Distribute monthly staffing/scheduling templates to ER Directors and support timely completion and follow-up.
  • Provide coverage in assigned markets upon request.
  • Provide training and onboarding support for new ER Discharge Coordinators and Point of Care Scheduling team members when requested.
  • Coordinate onboarding activities to ensure new team members have the appropriate resources, training, system access, and operational guidance.
  • Reinforce established workflows, processes, productivity expectations, and quality standards.
  • Serve as an ongoing resource for team members who need additional workflow or process support.
  • Run and distribute Quality Assurance (QA) reports and individual performance reports to staff.
  • Prepare individual productivity reports for ER Discharge Coordinators, that will be used by management in identifying performance trends and opportunities for improvement.
  • Prepare and distribute monthly productivity, activity, and program performance reports.
  • Ensure leadership has the data in a timely manner to allow for the monitoring of key performance indicators and identify trends, gaps, and opportunities to improve team effectiveness.
  • Partner with leadership to ensure reporting is accurate, consistent, actionable, and aligned with program goals.
  • Collect and organize feedback from Managers regarding workflow, scheduling, technology, and operational challenges.

Qualifications

  • Experience in healthcare operations, patient access, scheduling, emergency department operations, medical practice operations, or a related field preferred.
  • Previous team lead, or coordinator experience preferred.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Experience with staff scheduling, onboarding, training, reporting, or workforce coordination.
  • Strong analytical skills and comfort working with productivity, activity, and quality data.
  • Proficiency with Microsoft Excel, Outlook, Teams, and/or similar scheduling and reporting tools.
  • Strong written and verbal communication skills.
  • Ability to collaborate effectively with frontline staff, clinical leaders, operational leaders, and technical teams.
  • Demonstrated ability to identify problems, prioritize concerns, and appropriately escalate operational issues.
