Personnel and Communications Assistant
Qualifications
A high school diploma or equivalent is required, with an associate degree or higher preferred. Proven experience in an administrative support role, particularly in an educational setting, is necessary. Familiarity with human resources processes and procedures is preferred, as is proficiency in Microsoft Office, Google, and other relevant software applications.
- Demonstrated ability to manage social media platforms and create basic content for organizational use.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Ability to work both independently and collaboratively with a wide range of individuals.
- Maintain a professional and positive demeanor in all interactions with staff and the community.
Performance Responsibilities
Human Resources Assistance
- Aid in the onboarding process for new hires, including paperwork preparation, orientation coordination, and form facilitation.
- Coordinate criminal history checks for new hires, existing employees, and substitutes.
- Support recruitment activities, including position postings and applicant tracking.
- Manage the application process for prospective substitute teachers, schedule interviews, and maintain the absence management system.
- Oversee personnel records and ensure compliance with record-keeping requirements.
- Assist with benefits administration tasks, including enrollments, changes, and employee inquiries.
- Coordinate employee training and development activities as directed.
- Respond to employee inquiries related to HR and payroll matters with professionalism and confidentiality.
Communications & Public Relations Support
- Assist in managing and posting content to district social media platforms in alignment with district guidelines and as directed by the Superintendent or designee.
- Create basic communications materials such as flyers, announcements, and website updates.
- Attend school events and activities, as needed and directed, to gather content and support district messaging.
- Cook with building administrators to ensure timely and accurate communication of events and achievements.
- Monitor district communication channels and refer inquiries or concerns to appropriate personnel.
- Maintain consistency with district branding and messaging standards.
Administrative Support
- Assist various departments with administrative tasks.
- Maintain organized filing systems, including personnel files and central office records, ensuring adherence to retention schedules.
- Update and maintain databases, records, and filing systems accurately.
Work Schedule Expectations
This position may require occasional attendance at evening or after-hours events. Any additional time worked will be adjusted within the same work week in coordination with the supervisor.
Physical Demands
This position requires exerting 10 to 20 pounds of force to lift, carry, push, pull, or move objects. The work primarily involves sitting, with occasional walking or standing. It requires near and distance visual acuity, depth perception, oral communication, manual dexterity with office equipment, and the ability to handle various materials.
