At Filoli, the heartbeat of our organization is our people. We are looking for a People & Culture Specialist — a versatile, detail-oriented coordinator who can seamlessly shift from administrative precision to warm, human-centered employee engagement.

About the role

Reporting to the Resourcing & Training Manager, you will keep day-to-day People Operations running smoothly. You will be a trusted partner across the entire employee lifecycle—supporting Talent Acquisition, managing digital scheduling systems, and crafting a joyful employee experience.

Responsibilities

  • Talent Acquisition & Resourcing: Partner with our Talent Acquisition Manager to coordinate interview calendars and day-of logistics. Conduct warm, engaging phone screens for seasonal applicants and coordinate their onboarding and offboarding.
  • Workforce Scheduling & Systems: Serve as our Rotageek scheduling champion. Manage shift swaps, track certifications, input availability, and help managers solve sudden weekend staffing gaps and call-outs.
  • Employee Experience & Communications: Draft and design vibrant internal newsletters, maintain our team communications calendar, and coordinate annual wellness initiatives, employee events, and Service Awards program.
  • Lifecycle Documentation & Compliance: Process essential HR paperwork (offer letters, promotions, status changes) via DocuSign, maintaining highly accurate, audit-ready digital files in our ADP system.
  • Weekend Stewardship & Support: Serve as the go-to, friendly face of People & Culture on Saturdays and Sundays. Answer general policy questions and escalate any urgent safety or employee relations concerns to leadership.

Requirements

  • Minimum of 1 year of HR experience in a generalist or coordinator role, with proven experience using an HRIS or applicant tracking system (ADP experience is a plus).
  • High School Diploma required; experience in hospitality or customer service is required (an Associate or Bachelor’s degree in HR or Business is desirable).
  • Strong proficiency with Google Workspace and Microsoft Office Applications.
  • Valid Driver’s License required.
  • Comfortable walking across uneven terrain, climbing stairs, sitting at a computer, and occasionally lifting or carrying up to 20 lbs to support employee events.

Schedule

Typical schedule will be Friday - Tuesday from 9:00am - 5:30pm. This flexible schedule includes weekends and occasional evenings. Because our property thrives on weekends, you will be the key "on-the-ground" People & Culture presence for our staff and managers during weekend hours.

Pay

Hourly range: $35.00 to $38.00 per hour (depending upon candidate experience).
