About the role

As Treasurer you are responsible for the financial management of IBB Fest, a one-day cultural festival by and for the residents of the Ina Boudier-Bakkerlaan student complex in Utrecht. The festival takes place on Saturday 6 September from 15:00–23:00 and is free to attend. It features live music, theatre, dance, visual art, and more from local, young, and diverse talent. The event is entirely volunteer-run, and everyone is welcome.

You will play a key role in safeguarding the festival’s financial health—from budgeting and expense tracking to processing payments and ensuring timely financial reporting. You will collaborate closely with the Secretary/Acquisitions and Sponsorship roles to align income and expenses, secure funding, and manage sponsorships and grant applications. This position offers hands-on experience in financial planning, cultural event organisation, and teamwork.

Responsibilities

• Prepare and manage the annual budget and final accounts.
• Process payments and expenses, maintaining accurate bookkeeping.
• Manage the bank account, ensuring timely reimbursement of team members.
• Coordinate grant applications and ensure financial agreements with sponsors and funders are met.
• Monitor the festival’s financial health and adjust as needed.
• Work closely with the Secretary/Acquisitions and Sponsorship roles to secure sufficient funding.

Requirements

• Financial insight: understanding of budgeting, expense management, and financial reporting.
• Accuracy and organisation: meticulous in bookkeeping and financial documentation.
• Problem-solving: ability to address financial challenges and find practical solutions.
• Reliability and discretion: handle confidential financial data with integrity.
• Flexibility: adapt to a dynamic festival environment and unexpected changes.
• Affinity for culture and events: interest in cultural events and motivation to contribute to a successful festival.
• Resident of Utrecht; availability to attend weekly in-person meetings on Wednesday evenings.

Experience in event organisation, project-based work, or financial management is a plus but not required. IBB Fest is a learning-focused organisation where team members grow together.
