PC - Project Coordinator – Commercial Sales Division

KEY RESPONSIBILITIES

  • Coverage of projects from contract through closeout
  • Tracking of project milestones, schedules, and deliverables
  • Maintaining consistent communication across internal teams and external stakeholders
  • Gathering and organizing project inputs including specifications, drawings, CAD files, and schedules
  • Coordination with internal technical teams on shop drawing development
  • Interface with architectural teams to confirm design intent and basis-of-design alignment
  • Tracking shop drawing progress, revisions, and approvals
  • Maintaining document control and version accuracy
  • Managing submittals and tracking approval status
  • Identifying potential delays and communicating schedule impacts
  • Ensuring approved documents align with downstream processes
  • Producing release and order coordination
  • Reconciling approved shop drawings with order entry in Paradigm
  • Ensuring alignment between approved scope, quantities, and contract value
  • Tracking production releases and coordinating with manufacturing
  • Identifying and communicating long-lead items
  • Managing project closeout documentation including warranties and as-builts
  • Ensuring all contractual deliverables are completed
  • Contract and change management
  • Tracking contracts, revisions, and project documentation
  • Evaluating scope changes and coordinating next steps (change orders or service/warranty)
  • Ensuring all changes are documented, approved, and aligned with project scope and billing
  • Scheduling and issue tracking
  • Maintaining project timelines and tracking key milestones
  • Identifying and communicating schedule impacts
  • Tracking and following up on open issues to resolution
  • Logistics and delivery coordination
  • Coverage of jobsite deliveries with manufacturing, carriers, and customers
  • Tracking delivery schedules and communicating updates
  • Monitoring and documenting delivery issues (shortages, damages, remakes)
  • Systems and data management
  • Utilization of Microsoft Excel for tracking and reporting
  • Maintaining project visibility and pipeline updates in Salesforce
  • Ensuring consistency and accuracy across systems

QUALIFICATIONS

  • 3–7+ years of experience in construction, manufacturing, or commercial project coordination
  • Experience with CRM systems (Salesforce preferred)
  • Experience with shop drawings, submittals, and construction documentation
  • Familiarity with AIA billing and construction billing processes
  • Experience with Procore or similar construction management platforms preferred
  • Strong proficiency in Microsoft Excel
  • Experience with order/configuration systems (Paradigm or similar) is a plus
  • Strong organizational and communication skills
  • Able to manage multiple projects simultaneously
  • Detail-oriented with a proactive, problem-solving mindset
