Responsibilities

The Payroll Tax Specialist 1 will work through the process of quarterly and periodic payroll tax filings and should expect an increase in workload around year-end payroll tax activities, including annual reconciliations, W-2 processing, and tax reporting requirements. Key responsibilities include:

  • Researching and resolving payroll tax issues with state and federal agencies
  • Managing powers of attorney (POAs)
  • Processing refund checks
  • Coordinating payroll tax registrations across multiple jurisdictions
  • Managing reciprocity tax matters and W-2C corrections
  • Handling ServiceNow tickets and employee tax-related inquiries
  • Reviewing payroll tax data for accuracy and identifying/correcting discrepancies
  • Monitoring agency notices and maintaining documentation
  • Supporting audit requests
  • Collaborating closely with Payroll Operations, Human Resources, Finance, and external agencies to ensure timely and accurate payroll tax processing, compliance, and issue resolution

Additionally, this role involves:

  • Providing a range of analytical, program, and/or operational process support within a defined functional area
  • Identifying and investigating non-standard operational/reporting/process issues
  • Providing recommendations or escalating issues to appropriate areas
  • Providing regular analysis and/or reporting to support business partners, functional areas, or centers of expertise
  • Representing the group as a project lead on projects/initiatives and/or at meetings across the organization
  • Providing training to others on best practices, processes, and guiding junior staff
  • Acting as a key resource/specialist for an HR area/program(s) by providing subject matter expertise, analysis, or complex operational process support
  • Managing assigned programs, ensuring coordination of changes, and timely and accurate transaction processing
  • Providing optimal employee and partner service, including expert guidance and advice on policies, programs, and procedures
  • Identifying, documenting, and investigating processes/exceptions arising from transactions beyond 1st level operations service delivery
  • Developing and executing on reporting functions and/or producing consolidated or aggregated reporting
  • Managing relationships with internal and external partners
  • Analyzing key process drivers, root or systemic causes of cross-functional operational issues, and making recommendations for improvement
  • Contributing to the identification, development, and implementation of new operating workflows, additional services/applications, or operational efficiencies for HR Operations
  • Leading work streams by acting as a project lead/subject matter expert for small-scale projects/initiatives
  • Prioritizing and managing own workload to meet SLA requirements for service and productivity
  • Interfacing with regulators, external groups (legal firms, vendors, etc.) on operating and service delivery issues
  • Providing guidance, assistance, and direction to others in HR and other internal partners
  • Identifying, recommending, and effectively executing standard practices applicable to the discipline
  • Analyzing service delivery issues and identifying potential solutions that enhance the customer experience and support HR business objectives
  • Protecting the interests of the organization by identifying and managing risks and escalating non-standard, high-risk transactions
  • Completing business process reviews and contributing to the creation of new processes
  • Managing or supporting change management projects or programs that impact the business, functions, or processes
  • Ensuring compliance with applicable internal and external audit and regulatory requirements
  • Participating fully as a member of the team, promoting team effectiveness, and contributing to a positive work environment
  • Supporting the team by continuously developing knowledge in own area
  • Providing training, coaching, and/or guidance to others as appropriate/required
  • Ensuring the timely communication of issues relevant to the team and encouraging good working relationships with other departments

Requirements

  • Undergraduate degree required
  • 3+ years relevant experience required
  • Advanced knowledge and understanding of the operating environment, business processes and procedures, and transaction lifecycle for own area
  • Working professional level knowledge of the functional area and/or business areas supported
  • Organized self-starter with excellent analytical, problem-solving, and time management skills
  • Detail-oriented, with a high level of accuracy and ability to work independently
  • Excellent communication skills, both oral and written
  • Excellent PC skills including Microsoft Office, Excel, Access, and PowerPoint
  • Excellent customer orientation, interpersonal, and communication skills to deal effectively with all levels of staff

Preferred Qualifications

  • Familiarity with medium to large size multi-corporation/multi-state business payroll tax matters, >3k employees
  • Familiarity with Workday
  • Familiarity with ADP Smart Compliance, Master Tax, or other tax-managed vendor services
  • Experience in Excel, including pivot tables and VLOOKUPs

Pay

61,880 - 99,320 USD

The base pay actually offered may vary based upon the candidate's skills and experience, job-related knowledge, geographic location, and other specific business and organizational needs.
