About the role
The Payroll Specialist plays a crucial role in ensuring accurate and timely payroll processing, while also supporting key administrative functions such as certified payroll reporting, insurance renewals, and contractor prequalification packages. This position works closely with various departments to ensure compliance with payroll regulations and customer requirements.
Responsibilities
- Weekly payroll processing for hourly and salaried employees using ServiceTitan and payroll software
- Reviewing employee timecards for accuracy and resolving discrepancies
- Processing overtime, bonuses, commissions, prevailing wage, and other payroll adjustments
- Maintaining employee payroll records and ensuring confidentiality
- Responding to employee payroll questions promptly and professionally
- Aiding with monthly financial close
- Aiding with year-end payroll processing, W-2 preparation, and audits
- Certified payroll preparation and submission for prevailing wage and public works projects
- Maintaining certified payroll documentation and records
- Coordinating annual insurance renewals
- Gathering payroll and operational information requested by insurance carriers
- Working with brokers to complete renewal applications and audits
- Aiding with workers' compensation payroll audits
- Completing contractor prequalification applications for general contractors and customers
- Maintaining current documentation including insurance certificates, EMR information, financial documents, safety records, and compliance certifications
- Tracking renewal dates and ensuring prequalification information remains current
- Aiding with reporting and payroll reconciliations
- Supporting HR and Accounting with administrative projects
- Maintaining organized electronic and paper records
- Recommendations for process improvements to increase efficiency and accuracy
Qualifications
- 3+ years of payroll processing experience
- ServiceTitan experience strongly preferred
- Certified payroll experience preferred
- Construction or service industry payroll experience highly desirable
- Knowledge of prevailing wage regulations is a plus
- Strong understanding of payroll laws, taxes, and compliance requirements
- Experience coordinating insurance renewals and contractor prequalification packages preferred
- Excellent organizational, communication, and Microsoft Office skills
- Ability to maintain confidentiality
