Essential Functions & Responsibilities
- Enter and maintain payroll records biweekly in the payroll management system.
- Compile, calculate and enter payroll data such as, but not limited to, time sheet, garnishments, vacation or sick/personal time, benefit deductions, payroll advances and car allowance.
- Review data received for completeness and accuracy. Contact various department supervisors for any missed or inaccurate information.
- Process and issue employee paychecks and statements of earnings and deductions timely and accurately.
- Issue and record adjustments to pay related to previous errors or retroactive increases.
- Verify information on check stubs to ensure proper taxes and deductions have been deducted according to federal and state regulations.
- Scan and email necessary documents/reports at the close of each payroll process.
- Answer employee and other departmental requests and questions.
- Research and resolve payroll discrepancies by collecting and analyzing information.
- Upon termination of an employee, compile and deduct any debit due by the employee from their final pay check.
- Keep your supervisor/manager advised of potential problem areas and recommend solutions as appropriate.
- Perform filing, coping and scanning.
- Conform with and abide by all state and federal regulations, policies, work procedures, and instructions.
- Maintain employee confidence and protect payroll operations by keeping information confidential.
- Contribute to team effort by accomplishing related results as needed.
- Examine employee files to answer inquiries and provide information for personnel actions.
Human Resources
- Maintain Human Resource information system records.
- Maintain employee information in the DISA website to ensure the information is accurate and current.
- Maintain record of candidate’s status as they proceed through the employment process and notify the manager once the candidate has met all HR requirements.
- Arrange for random drug screenings for existing employees.
- File employee’s results properly.
- Report separation of employment information through the Department of Labor website.
- Print DOL documents twice. Retain a copy for our records and mail the employee’s copy.
- Terminate documents must be filed within 72 hours after an employee has been terminated.
- Mailing separation notices and other state required documents to employee following separation of employment.
