Responsibilities

  • Greet patients warmly, check them in and out, and assist with questions about appointments, insurance, or procedures
  • Collect co-pays, prepayments, and outstanding balances accurately, while explaining financial policies as needed
  • Schedule new and follow-up appointments, answer incoming calls, and ensure timely patient communication and follow-up
  • Input and update patient demographics, case injury information, insurance details, and referrals into the EMR system
  • Open and close the front office, maintain a clean and organized waiting area, and monitor appointment reschedules or cancellations
  • Verify insurance eligibility and benefits, obtain necessary forms, and coordinate with outside facilities for imaging or referrals
  • Work assigned EMR “buckets” (e.g., No Show, Reschedule, Missing Slips) and support clinical staff with documentation and follow-through
  • Assist with daily cash drawer reconciliation, deposits, and billing charge entry to ensure accurate end-of-day financial reporting

Requirements

  • High School Diploma or equivalent
  • 4+ years of experience in a medical office or clinical setting
  • Strong customer service skills and a patient-centered approach
  • Familiarity with medical terminology and EMR systems (Epic a plus)
  • Excellent verbal and written communication skills
  • High attention to detail, strong organizational skills, and discretion with patient information
  • Experience with front office leadership, financial reconciliation, and insurance verification preferred
