About the Role

This position is the first and last point of contact for patients at the clinic. You will ensure patients are processed in a friendly, professional manner and that all patient demographic and insurance information is accurate and updated each visit. This is an on-site, patient-facing role requiring real-time collaboration with providers, direct interaction with patients and caregivers, and secure handling of health data in compliance with HIPAA.

In-Person Requirement: All essential functions listed below are expected to be performed on-site. ENA has determined that these duties cannot be effectively or securely executed in a remote environment without compromising patient care, data privacy, or operational standards.

Responsibilities

  • Assist referral coordinator (45%)
  • Schedule and reschedule appointments in EHR (20%)
  • Check in/out patients for appointments, lab work, or studies (10%)
  • Verify insurance and obtain pre-authorization numbers when required (10%)
  • Update outlying clinic schedules (5%)
  • Serve as point of contact for the medical records department (5%)
  • Perform other duties as assigned (5%)

Requirements

  • Two years of related medical clerical experience or completion of a medical secretarial program (9 months to 2 years accredited program)
  • High School Diploma or GED equivalent
  • Knowledge of HIPAA and other compliance requirements (preferred)
  • Valid driver’s license and reliable transportation to support offsite locations as necessary

  • Proficiency in Microsoft Word, Outlook, Teams, and EHR systems
  • Ability to communicate well with physicians, staff, and the public

Physical Demands

  • Frequently lift and/or move up to 10 pounds (use of hand carts provided for heavier loads)
  • Eyesight (corrected or uncorrected) to accurately read job-related materials and patient information
  • Repetitive motion for data keying
  • Regularly required to stand, talk, or hear
  • Occasionally required to sit, stoop, kneel, or crouch
  • Full range of body motion, manual dexterity, and eye-hand coordination

Schedule

Monday–Friday, 8:00 AM to 5:00 PM with a one-hour lunch. Slight modifications may be made with approval from the Site Coordinator. Must be able to work overtime as needed.

Work Environment

  • Typical interior/office environment with moderate noise levels
  • Low risk of exposure to bloodborne pathogens and other potentially infectious materials (OPIM)
