About the Role

Under general supervision, the Patient Services Coordinator provides administrative support to health care providers in high-volume ambulatory settings, functioning as the primary interface between the patient and the providers. The role emphasizes organizing priorities, managing confidential patient information, and handling tasks such as scheduling appointments, diagnostic testing, referrals, and managed care issues. The coordinator is responsible for front desk duties, patient check-in/check-out, and ensuring a welcoming environment with outstanding service.

Responsibilities

  • Schedules and reschedules patient appointments, utilizing wait lists to fill cancellations.
  • Answers and triages incoming calls, assists with problem resolution, and manages the "MD access line."
  • Conducts appointment confirmation calls and sends confirmation letters.
  • Reviews daily schedules, ensures patient flow efficiency, and verifies demographic and insurance information.
  • Greets patients, performs check-in duties, collects payments, and ensures necessary paperwork is completed.
  • Coordinates interpreter services, patient transportation, and ancillary appointments.
  • Manages Patient Gateway, sorts mail, and directs correspondence.
  • Maintains patient confidentiality in compliance with HIPAA guidelines.

Skills

  • Proficiency with MS Windows, keyboard skills, and scheduling systems.
  • Understanding of managed care, insurance plans, and HIPAA policies.
  • Knowledge of medical terminology and Epic systems is desirable.
  • Exceptional organizational skills and ability to manage multiple tasks.

Credentials and Experience

  • Associate degree in Secretarial Science/Business or secretarial training certificate preferred.
  • High school diploma required.
  • Minimum 2 years of secretarial experience in a medical or healthcare setting preferred.
  • Medical experience in a doctor’s office strongly preferred.
  • Valid driver’s license preferred.

Physical Requirements

  • Frequent standing, walking, lifting (35lbs+ with assistance), and reaching.
  • Occasional sitting, carrying (20-35lbs), pushing, pulling, stooping, kneeling, and crouching.
  • Rarely climbing, balancing, or crawling.
