Responsibilities

  • Coordinate and provide patient support services, including answering phones, directing calls, greeting patients/visitors, and maintaining patient medical records via EMR or paper charts.
  • Assist with patient scheduling and perform office functions.
  • Handle patient payments as applicable.
  • Lead day‑to‑day operations for Lead positions.
  • Register and check‑in patients, update demographics and insurance information in the computer system.
  • Answer patient calls, relay messages or scripted care directions, respond to inquiries, and communicate with referring physician offices.
  • Perform check‑out processes, including co‑pay collections, scheduling return visits, providing after‑visit summaries, and ensuring follow‑up tests are ordered or scheduled.
  • Monitor patient wait times and notify appropriate staff of excessive delays.
  • Open and route incoming mail; distribute correspondence, reports, and office supplies; mail out form letters.
  • Track and record patient information or program data where applicable.
  • Request and handle referrals and medical records from referring offices for new patient appointments.
  • Schedule appointments when directed.
  • Maintain cash drawer, reconcile daily cash, and prepare bank deposits; accurately complete paperwork to facilitate and track deposits.
  • Contact insurance companies to obtain registration or procedural pre‑certifications as required.
  • Use job‑related software and systems to perform functions.
  • Travel as needed to accommodate staffing levels at other clinical facilities.
  • Demonstrate attendance, promptness, professionalism, attention to detail, cooperativeness with co‑workers and supervisors, and politeness to customers, vendors, and patients.
  • Perform other duties or special projects as assigned.

Qualifications

  • High school diploma or equivalent.
  • At least one year of customer service experience.
  • Strong problem‑solving skills and ability to manage multiple priorities.
  • Effective written and verbal communication skills.
  • High level of interpersonal skills to handle sensitive and confidential situations while providing exceptional customer service.

Pay

USD $16.93 – $25.39 per hour.
