Patient Service Representative

About the role

We are seeking a customer-focused and detail-oriented Patient Service Specialist to join a busy outpatient therapy clinic. This position serves as the first point of contact for patients and plays a critical role in delivering an exceptional patient experience while supporting daily front office operations. The ideal candidate is professional, self-motivated, adaptable, and thrives in a fast-paced environment. Healthcare experience is preferred but not required. Candidates with strong customer service and administrative backgrounds are encouraged to apply.

Responsibilities

• Greet and check in patients
• Answer incoming phone calls and assist patients with questions
• Schedule and confirm appointments
• Complete patient registration and intake
• Verify insurance benefits and obtain authorizations
• Collect copays and patient payments
• Maintain accurate patient records and data entry
• Scan, fax, and organize patient documentation
• Support clinical staff with administrative needs
• Assist with cash balancing and front office operations
• Provide outstanding customer service to patients and staff

Required Qualifications

• High School Diploma or GED
• Strong customer service experience
• Excellent communication and interpersonal skills
• Ability to multitask in a fast-paced environment
• Strong attention to detail and organizational skills
• Basic computer proficiency

Preferred Qualifications

• Medical, dental, or healthcare front office experience
• Insurance verification experience
• Scheduling and patient registration experience
• Administrative experience in a high-volume office setting

Schedule

• Full-time, Monday through Friday
• 8-hour shifts with a 1-hour lunch break
• Rotating schedules between 7:00 AM and 7:00 PM Monday through Thursday
• Fridays operate between 7:00 AM and 5:00 PM
• Occasional flexibility for schedule adjustments may be available, but regular attendance during assigned hours is expected

Work environment

• On-site in Grapevine, TX
• High-volume, multi-discipline outpatient clinic
• Supports more than 600 patient visits per week
• Fast-paced environment requiring strong multitasking and customer service skills
