Key Responsibilities
- Answer incoming patient calls and respond to inquiries professionally and efficiently
- Schedule, reschedule, and cancel patient appointments while maintaining accuracy
- Register patients and update demographic and insurance information in the electronic medical record (EMR)
- Manage patient check-in and check-out processes
- Collect copayments and required patient documentation, including insurance cards, referrals, and signatures
- Communicate appointment delays and patient flow updates to patients and clinical staff
- Verify insurance eligibility, benefits, and patient demographics
- Obtain referrals, authorizations, and coordinate benefits as needed
- Maintain accurate patient records and documentation
- Support daily administrative functions to ensure efficient office operations
- Deliver an exceptional patient experience through professional and compassionate interactions
- Anticipate patient needs and resolve concerns promptly
- Build positive relationships with patients, visitors, providers, and office staff
- Adhere to HIPAA guidelines and organizational policies
- Maintain patient confidentiality and privacy at all times
- Ensure compliance with federal, state, and healthcare regulatory requirements
Qualifications
- 1+ years of medical office, patient access, patient registration, medical receptionist, or healthcare customer service experience preferred
- Experience scheduling patient appointments in a healthcare setting
- Insurance verification and authorization experience strongly preferred
- Strong computer and data entry skills
- Excellent verbal and written communication skills
- Ability to multitask and work effectively in a fast-paced environment
- EPIC experience highly preferred
- High school diploma or equivalent required
Schedule
- Typical weekly schedule includes: One late shift per week: 12:00 PM - 8:30 PM
- Three daytime shifts between 7:45 AM - 5:30 PM
- Rotating Saturday coverage every fourth week (8:00 AM - 12:00 PM)
- Schedules are released approximately two weeks in advance
Training
- Four-day EPIC training program (Tuesday-Friday, 9:00 AM - 5:00 PM)
- Successful completion of EPIC assessment required
- HIPAA compliance training provided
