Performs administrative functions to support smooth and efficient clinical service and practice operations at Mass General Brigham, a not-for-profit organization dedicated to patient care, research, teaching, and community service.
Responsibilities
- Performs administrative duties related to patient visits including scheduling, check-in, and check-out duties at the highest proficiency level.
- Makes patient appointments and maintains appointment records.
- Assists callers with routine inquiries and triages matters appropriately.
- Processes patient billing forms and scans documents to the patient medical record (EPIC).
- Acts as "Super User" for scheduling, registration, and billing systems; provides assistance and training to others in these areas.
- Handles, screens, and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
- Performs more complex or specialized functions such as surgical scheduling, schedule changes, and blocking at an advanced competency level.
- Additional responsibilities as assigned.
Requirements
- High School Diploma or Equivalent required; experience cannot be substituted for this education requirement.
- 3-5 years of office experience.
Skills
- Strong technology and MS Office skills (Advanced Outlook, Word, Excel, PowerPoint).
- Knowledge of office operations and standards, including filing, copying, scanning, printing, and faxing.
- Ability to use phone systems, manage non-routine phone calls, and solve routine issues.
- Effective written and verbal communication skills, including composing/editing emails, memos, and letters.
- Strong time management and organizational skills to handle multiple tasks effectively.
- Ability to proofread and edit written documents.
- Understanding of written sentences and paragraphs in work-related documents.
