Position Summary

Maintains the efficient workflow of all front office functions including appointment scheduling, medical records, patient registration, insurance verification, and checkout. In addition, you will be responsible for contributing to the growth and success of HealthTexas while upholding our Mission, Vision and Values.

Job Responsibilities

  • Follow all HealthTexas Medical Group policies and procedures, including human resources, clinic, administrative, HIPAA and compliance.
  • Greet patients and visitors; check in patients.
  • Verify and update necessary information in the medical record and patient registration.
  • Enter patient demographics and insurance information into the computer.
  • Assist patients with physical difficulties and notify the medical assistant when a patient is ready.
  • Maintain appointment schedules, confirm appointments, and obtain referral information.
  • Verify insurance coverage.
  • Answer telephone calls, screen calls and visitors, take messages, and provide routine information.
  • Display courtesy, professionalism, compassion and a positive helpful attitude in interactions with providers, staff, patients and visitors.
  • Maintain appropriate cash levels and balance cash drawer per company procedure.
  • Process payments received in person and by mail; record, total and prepare monies for deposit according to company procedure.
  • Refer patients to billing or supervisor for clarification or discussion of account and/or payment terms.
  • Operate and maintain credit and collection equipment.
  • Maintain appropriate supply inventory.
  • Maintain patient charts, updates and other information according to policies and procedures.
  • Prepare new charts; ensure new patient paperwork is filled out, received and scanned into EMR.
  • Annually update established patient paperwork and scan into EMR.
  • Type work excuses as directed.
  • Sort and deliver mail, medical records, and other correspondence.
  • Maintain work area and lobby in a neat and orderly manner.
  • Attend required meetings and participate in committees as requested.
  • Maintain patient confidentiality and comply with HIPAA regulations.
  • Use oral and written communication skills to effectively convey ideas in a clear, positive manner.
  • Maintain established medical group policies, procedures, objectives, quality assurance, safety, environmental and infection control.
  • Implement job responsibilities in a manner consistent with the Code of Ethics.
  • Maintain regular and acceptable attendance as determined by the medical group.
  • Follow personal protective equipment (PPE) guidelines.
  • Fulfill medical records requests as applicable.
  • Assist patients with referral/authorization requests by printing referrals, providing referral contact and location information, obtaining commercial authorizations and checking on status of authorizations.
  • Assist patients in accessing Healow, Patient Portal, completing Formstack paperwork and mobile check‑in.
  • Serve as Clinic Champion, rotating through Medical Records, Referrals, Healow, Formstack, Mobile Check‑in and Resource Schedule.
  • Demonstrate knowledge of managed care plans and benefits.
  • Utilize bilingual language skills to translate or interpret for patients, family members, or colleagues when required.
  • Perform other duties as assigned.

Experience

One year of physician office experience, including ICD, CPT and HCPCS coding. Knowledge of managed care preferred.

Education

High school diploma or equivalent.

Knowledge, Skills & Abilities

  • Ability to operate a 10‑key calculator by touch, telephone, computer, copier, and fax machine.
  • Excellent interpersonal, communication and customer service skills; good math knowledge essential.
  • Ability to work in a multi‑tasking environment and under stressful conditions where constructive criticism is encouraged.
  • Demonstrated knowledge of basic medical terminology.
  • Ability to communicate respectfully with all individuals regardless of sexual, racial, ethnic or economic status.

Work Hours & Travel Requirements

Clinic hours vary at each location; associates rotate 8‑hour shifts as assigned to meet business and patient needs. Travel to other sites may be required for training, business needs, or patient care.

Working Conditions / Physical Requirements

Medical office/clinic environment with exposure to infectious diseases, bodily fluids, toxic substances, medicinal preparations, and other typical clinic conditions. The employee is regularly required to talk and hear; specific vision abilities include close, distance, color, peripheral, depth perception and focus adjustment. Must be able to perform essential functions, meet attendance requirements, and assist patients in emergencies. Must not pose a direct threat to health or safety of others. Physical demands include manual dexterity, sitting, standing (minimum 2 hours at a time), stooping, reaching, kneeling, crouching, bending, walking, and lifting up to 50 lb (may assist in lifting patients).
