Responsibilities

  • Follow all HealthTexas Medical Group policies and procedures, including human resources, clinic, administrative, HIPAA, and compliance.
  • Greet patients and visitors, check in patients, verify and update medical records and registration information.
  • Enter patient demographics and insurance information into the computer; assist patients with physical difficulties and notify medical assistants when a patient is ready.
  • Maintain appointment schedules, confirm appointments, and obtain referral information.
  • Verify insurance coverage, answer telephones, screen calls and visitors, take messages, and provide routine information.
  • Display courtesy, professionalism, compassion, and a positive attitude in interactions with providers, staff, patients, and visitors.
  • Maintain appropriate cash levels, balance cash drawer, process payments received in person and by mail, and prepare monies for deposit.
  • Refer patients to billing or supervisor for account or payment clarification.
  • Operate and maintain credit and collection equipment.
  • Maintain supply inventory, patient charts, and update information according to policies and procedures.
  • Prepare new charts, ensure new patient paperwork is completed and scanned into EMR, and update established patient paperwork annually.
  • Type work excuses as directed, sort and deliver mail, medical records, and other correspondence.
  • Maintain work area and lobby in a neat and orderly manner.
  • Attend required meetings and participate in committees as requested.
  • Maintain patient confidentiality and comply with HIPAA regulations.
  • Use effective oral and written communication skills to convey ideas clearly and positively.
  • Adhere to established medical group policies, procedures, objectives, quality assurance, safety, environmental, and infection control standards.
  • Implement job responsibilities consistent with the Code of Ethics.
  • Maintain regular and acceptable attendance as determined by the medical group.
  • Follow personal protective equipment (PPE) guidelines.
  • Fulfill medical records requests as applicable.
  • Assist patients with referral/authorization requests, including printing referrals, providing contact and location information, obtaining commercial authorizations, and checking authorization status.
  • Assist patients in accessing Healow, Patient Portal, completing Formstack paperwork, and mobile check-in.
  • Serve as Clinic Champion, rotating through Medical Records, Referrals, Healow, Formstack, Mobile Check-in, and Resource Schedule.
  • Demonstrate knowledge of Managed Care plans and benefits.
  • Bilingual Associates may be expected to utilize language skills to translate or interpret for patients, family members, or colleagues.
  • Perform other duties as assigned.

Requirements

  • One year of physician office experience, including ICD, CPT, and HCPCS coding.
  • Knowledge of managed care preferred.
  • High school diploma or equivalent.

Skills

  • Ability to operate a 10-key calculator by touch, telephone, computer, copier, and fax machine.
  • Excellent interpersonal, communication, and customer service skills; good math knowledge.
  • Ability to work in a multi-tasking environment and under stressful conditions where constructive criticism is encouraged.
  • Knowledge of basic medical terminology.
  • Able to communicate respectfully with all individuals regardless of sexual, racial, ethnic, or economic status.

Schedule

Clinic hours vary by location; Associates rotate 8-hour shifts as assigned to meet business and patient needs. Requires travel to other sites as requested for training or to meet business and patient needs.

Working Conditions / Physical Requirements

  • Medical office/clinic environment; exposure to infectious diseases, bodily fluids, toxic substances, medicinal preparations, and other conditions common to a clinic environment.
  • Regularly required to talk and hear; specific vision abilities include close, distance, color, peripheral vision, depth perception, and ability to adjust focus.
  • Must perform essential functions of the position and meet attendance requirements.
  • Must assist patients in emergencies and not pose a direct threat to the health or safety of others.
  • Requires manual dexterity, sitting, standing (no less than 2 hours at a time), stooping, reaching, kneeling, crouching, bending, walking, and lifting up to 50 lbs; may assist in lifting patients.
