Responsibilities
- Follow all HealthTexas Medical Group policies and procedures, including HR, clinic, administrative, HIPAA, and compliance.
- Greet patients and visitors; check in patients; verify and update medical record and registration information.
- Enter patient demographics and insurance information into the computer; assist patients with physical difficulties.
- Notify the medical assistant when a patient is ready.
- Maintain appointment schedules; confirm appointments and obtain referral information.
- Verify insurance coverage.
- Answer telephone calls, screen calls and visitors, take messages, and provide routine information.
- Display courtesy, professionalism, compassion, and a positive attitude in all interactions.
- Maintain appropriate cash levels and balance cash drawer per company procedure; process payments received in person and by mail.
- Record, total, and prepare monies for deposit according to company procedure.
- Refer patients to billing or supervisor for clarification of account or payment terms.
- Operate credit and collection equipment; maintain appropriate supply inventory.
- Maintain patient charts, updates, and other information per policies; prepare new charts and ensure paperwork is scanned into EMR.
- Sort and deliver mail, medical records, and other correspondence.
- Maintain work area and lobby in a neat, orderly manner.
- Attend required meetings and participate in committees as requested.
- Maintain patient confidentiality and comply with HIPAA regulations.
- Use oral and written communication skills to convey ideas clearly and positively.
- Adhere to medical group policies, quality assurance, safety, environmental, and infection control standards.
- Implement responsibilities consistent with the Code of Ethics.
- Maintain regular and acceptable attendance as determined by the medical group.
- Follow personal protective equipment (PPE) guidelines.
- Fulfill medical records requests as applicable.
- Assist patients with referral/authorization requests, including printing referrals, providing contact information, obtaining authorizations, and checking status.
- Help patients access Healow, Patient Portal, complete Formstack paperwork, and use mobile check‑in.
- Serve as Clinic Champion, rotating through Medical Records, Referrals, Healow, Formstack, Mobile Check‑in, and Resource Schedule.
- Utilize knowledge of managed‑care plans and benefits.
- If bilingual, translate or interpret for patients, family members, or colleagues as needed.
- Perform other duties as assigned.
Requirements
- Experience: One year of physician office experience, including ICD, CPT, and HCPCS coding. Knowledge of managed care preferred.
- Education: High school diploma or equivalent.
- Knowledge, Skills & Abilities:
- Operate a 10‑key calculator, telephone, computer, copier, and fax machine.
- Excellent interpersonal, communication, and customer service skills; solid math ability.
- Ability to multitask and work under stressful conditions while accepting constructive criticism.
- Basic medical terminology knowledge.
- Respectful communication with all individuals regardless of sexual, racial, ethnic, or economic status.
Work Hours & Schedule
Clinic hours vary by location; associates rotate 8‑hour shifts as assigned to meet business and patient needs. Travel to other sites may be required for training or business purposes.

Physical Requirements
Medical office/clinic environment with exposure to infectious diseases, bodily fluids, toxic substances, and medicinal preparations. Must regularly talk and hear; required vision includes close, distance, color, peripheral, depth perception, and focus adjustment. Must be able to sit, stand (minimum 2 hours at a time), stoop, reach, kneel, crouch, bend, walk, and lift up to 50 lb (may assist in lifting patients). Must meet attendance requirements and adhere to the HealthTexas Medical Group attendance policy, and be able to assist patients in emergencies without posing a direct threat to health or safety of others.
