Responsibilities

  • Follows the practice protocol, coordinates patient services for patient members as needed, ensuring they receive comprehensive and personalized care.
  • Conducts initial screening and brief assessment with patients during phone encounters under physician guidelines; maintains documentation of all patient encounters in the EMR system.
  • Collaborates with medical receptionist to verify patient's insurance eligibility and benefits and organizes schedules for providers to meet patients. Ensures patients receive caring service in a timely manner.
  • Requests and obtains medical records of patient members from various internal and external parties, including but not limited to, primary care providers, specialists, hospitals, and pharmacies. Tracks controlled substance medication history.
  • Scans, uploads, and attaches documents to patient charts correctly; assists in maintaining the accuracy of patient information in the EMR system.
  • Follows up with patients to monitor condition and adherence to treatment plans under physician guidelines. Reports to providers with patients’ progress.
  • Facilitates smooth and effective daily communication between the patient, family members, and healthcare providers to ensure patient satisfaction and quality of care.
  • Supports patient care by generating patient letters and referral letters, filling out forms for special services, etc.
  • May assist in addressing patient’s medical inquiries, medication concerns, and complaints under physician guidelines.

Requirements

  • High School Diploma or equivalent; bachelor’s degree preferred.
  • 1 year of work experience in a medical practice; mental health experience is a plus.
  • Knowledge of medical terminology.
  • Excellent verbal and interpersonal communication skills.
  • Demonstrated ability to multi-task and use multiple systems, including MDLand; familiarity with data entry and retrieval in Electronic Medical Records (EMR) systems.
  • Able to work under pressure.
  • Customer service orientation; always shows care, kindness, and a passionate personality.
  • Bilingual in English and Chinese (Mandarin or Cantonese) is required.
