About the Role
Serves as the lead for Patient Billing/Services Representatives; plans, organizes, directs, and assists in aspects of the front desk/scheduling team. Coordinates office functions and performs specialized/technical duties with minimal supervision. Acts as a liaison between consumers (staff, patients, healthcare professionals, and the general public) and advocates for patients’ needs.
Responsibilities
- Monitors staff performance to ensure quality care and compliance with practice standards.
- Oversees appointment scheduling, registration review, pre-arrival processes, and HIPAA acknowledgement documentation using department-approved tools.
- Triages patient phone calls, tasks, and emails in collaboration with physicians or appropriate personnel.
- Assists in managing providers’ schedules, templates, and master schedules according to physician protocols and management direction.
- Coordinates training, interoffice activities, policy/procedure distribution, and administrative needs; serves as primary trainer for new procedures and staff.
- Manages staff vacations, schedules, and coverage, including timesheets and accruals.
- Plans and conducts orientation and training for new and established personnel under management guidance.
- Coordinates ordering and monitoring of supplies, equipment, mail, and operational services.
- Maintains required skills/competencies through in-services, continuing education, and cross-training.
- Ensures compliance with OSHA, state, and federal regulatory standards.
- Acts as backup for staff during peak times, vacations, or illnesses.
- Prepares custom reports as directed by management.
- Participates in quality improvement activities to ensure appropriate clinical outcomes.
- Incorporates the Fish Philosophy and Principles into daily activities.
- Performs other duties as assigned.
Requirements
- High school diploma or equivalent certification, or a combination of education and experience.
- 4 years of experience in billing systems, third-party claims, and/or a medical office setting with related customer service.
- Basic Life Support (BLS) certification (American Heart Association or American Red Cross) must be obtained within one month of hire; online-only certifications without a skills assessment are not sufficient.

Pay
Salary Range: $21.33 - $31.98 per hour.
