About the Role
The Dental Patient Access Specialist is the welcoming face and the calming voice of our practice, serving as the crucial first point of contact for all patients. In addition to fulfilling administrative duties, you will act as the bridge that connects our diverse community to the care and services they need. Using your natural ability to communicate clearly and empathetically in both Spanish and English, you will ensure every individual feels comfortable, understood, and at ease from their first interaction.
Responsibilities
- Greet all patients and visitors who enter the clinic with professionalism and a friendly manner.
- Complete all phases of patient intake, including starting electronic records, documenting chief complaints, screening financial eligibility, and collecting fees according to the sliding fee scale.
- Accurately input and update patient data in records.
- Update and complete financial information to determine eligibility, including verifying insurance cards or proof of income.
- Assist patients in completing forms.
- Schedule patient appointments efficiently to maximize availability and keep the schedule running smoothly.
- Accurately complete the checkout process, including collecting and posting payments and making necessary adjustments in the ledger.
- Answer and direct clinic telephone calls, and respond to messages.
- Document patient concerns, complaints, or requests, and inform the director of any requiring additional attention.
- Arrange special services for patient visits, such as interpreter services and transportation.
- Work with assistants to address schedule changes, confirm appointments, and send appointment reminders via email and text.
- Maintain strict adherence to HIPAA and ensure all confidential information is secure.
- Verify daily payment collection, identify discrepancies, and inform the director of any issues.
- Collect and verify all cash, checks, and credit card receipts, and deliver materials to the director.
- Perform general clerical duties, including restocking forms and office supplies, and notifying the director of needs.
- Post signs regarding clinic closings or changed hours as needed.
- Assist with office equipment maintenance and notify the director of any necessary repairs.
- Provide patients with information on clinic policies and services, and redirect them to other resources as needed.
- Collaborate with staff from other departments and assist students and NWTC staff.
- Maintain cleanliness of the clinic reception area.
- Translate between English and Spanish when necessary.
Requirements
- High school diploma.
- Previous employment in an administrative position performing customer service; clinic setting experience preferred but not required.
- Understanding of professional customer service; training in record maintenance and infection prevention is preferred.
- Skilled in basic computer operation and programs, with the ability to learn new software quickly.
- Fluency in both English and Spanish is strongly desired.
- Ability to display professionalism in a healthcare setting.
- Ability to work well with a diverse population with varied lifestyles.
- Strong communication skills in both English and Spanish.
