Essential Job Functions

  • Affords assistance to patients during the registration process, verifying patient demographics and insurance information for accuracy.
  • Supports new employees with registration workflows.
  • Complies with established protocols for collecting and posting co-pays, managing payment processing, reviewing records for bad debt, adhering to the No Surprise Act, maintaining an accurate cash drawer, preparing daily deposits, and following practice close processes.
  • Follows practice scheduling guidelines for single or multiple clinics and handles return, referral, and testing appointments.
  • Assists new employees with appointment scheduling.
  • Adheres to office procedures for handling incoming calls, messages, voice mail, and email, coordinating follow-up as needed.
  • Manages referrals and obtains pre-certification as required, notifying the pre-cert coordinator for follow-up.
  • Ensures a positive guest experience by adhering to Steps of Service protocols and de-escalating situations when necessary.
  • Trains new employees on general clerical support, including paperwork, medical records, faxes, scans, filing, typing, etc.
  • Guarantees timely delivery of new patient information.
  • Mails new patient packets and contacts patients the day before their scheduled appointment.
  • Adheres to no-show policy, sends letters, and documents no-shows in a timely manner.

Qualifications

  • High School Diploma or equivalent.
  • Preferred: Graduated from a certified medical office training course.
  • Required: One year clerical experience in a medical setting.
  • Proficiency in EPIC Cadence/Prelude.
  • Experience in customer service within a healthcare setting.
