About the Role
The Parts & Service Sales Associate I will coordinate and oversee the Order Fulfillment process of Parts, Accessories, and Service. This includes quoting customers, entering sales/service orders, sourcing required parts, scheduling resources to complete the work, and invoicing. The role ensures customer orders, inquiries, and follow-ups are handled efficiently to achieve total customer satisfaction while working with Service Managers and sales staff to grow the Parts & Service business profitably.
Responsibilities
- Work closely with sales and branch-level employees to grow the Parts & Service business by solving customer problems quickly and efficiently.
- Respond promptly to customer needs, providing quotes, support, invoices, order changes, and handling complaints.
- Quote and assist in managing customer offerings, including:
- Preventive maintenance plans
- Annual certifications
- Inspection of equipment
- On-site and emergency repairs
- Add-on parts and accessory items, including delivery and installation
- Provide exceptional service before, during, and after the sale.
- Enter customer orders and ensure timely fulfillment.
- Enter and follow up on purchase orders with vendors, ensuring parts are received and issued accurately and promptly.
- Track shipments, file claims, and process returned goods.
- Prepare paperwork for freight and/or chassis pickup through preferred transportation companies.
- Recommend major purchases for quick-turn inventory items in line with company policy.
- May establish and maintain MRP, review safety stocks, review MRP daily, and purchase parts as needed.
- Maintain product displays, including quantity, quality, and appearance.
- May handle credit card payments and related administrative tasks.
- Comply with all company and OSHA safety regulations.
- Assist with the annual physical inventory for the Parts and Service Department.
- Maintain cycle count accuracy reports.
Requirements
- Zero (0) to two (2) years of customer service experience in a similar industry.
- Marketing experience and understanding of sales efforts preferred.
- Strong mechanical and technical experience, with an understanding of service activities, vehicle structures, equipment, and electrical systems preferred.
