About the role

The Parts Facilitator places orders for parts and materials; ensures the timely movement of parts in and out of the systems; provides parts look-up assistance to technicians, vendors, and organization personnel; and facilitates exceptional customer service and customer goodwill.

Responsibilities

  • Greet and acknowledge every customer in a friendly manner to facilitate exceptional customer service and customer goodwill.
  • Place orders for parts and materials.
  • Receive incoming materials, supplies, and equipment. Unload trucks, compare received items to purchase order to verify accuracy and quantity of shipment.
  • Load and unload trucks according to established safety and operating procedures.
  • Assist preparation of shipments by staging, counting, documenting, and packaging materials for safe transport.
  • Process basic shipping, receiving, issuing, and inventory transactions in the inventory system.
  • Maintain understanding of warehouse layout and how to locate materials as well as relocate material when needed.
  • Maintain required paperwork and records as needed.
  • Ensure inventory records are maintained within the ERP system.
  • Provide parts lookup and assistance to technicians and third parties as requested.
  • Ensure the timely movement of all parts in and out of the system.
  • Document and report to the supervisor any discrepancy, damaged items, shortages, broken parts, or unidentified packages.
  • Assist in the disposition of surplus inventory.
  • Deliver materials to appropriate departments or bays, obtain required signatures, and record transactions.
  • Perform daily cycle counts and annual physical inventory counts.
  • Practice good housekeeping in assigned area and properly dispose of waste according to safety and environmental policies.
  • Ensure the accuracy of material requests and completion of required system processes.
  • Safely operate material handling equipment (e.g., hand truck, pallet jack, forklift, etc.).
  • Help with Return Merchandise Authorizations (RMAs) and core returns to suppliers.
  • Work with team members and supervisor to develop process improvements that maximize efficiency.
  • Seek technical and supervisor expertise to resolve quality-related issues.
  • Safely drive a company vehicle day or night, on various road types, and in all weather conditions.
  • Maintain compliance with Health, Safety, and Environmental (HSE) policies by attending all required HSE safety training sessions, safety meetings, and always utilize proper Personal Protective Equipment (PPE).
  • Other duties as assigned.

Requirements

  • Experience working in a parts room and stocking inventory preferred.
  • Maintaining a current valid driver’s license and a clean driving record required.
  • Must be material moving equipment operator certified or willing to receive required certification training (e.g., hand truck, pallet jack, forklift, etc.).
  • English and Spanish bilingual preferred.
  • Clear written and verbal communication skills, able to effectively interact with team members, vendors, and personnel at all levels of the organization.
  • Positive attitude with highly developed customer service skills.
  • Organized with strong detail orientation and time management skills.
  • Proficient working in Microsoft Office 365 applications and able to quickly learn other work-related software.
  • Strong work ethic, reliable, and willing to uphold commitment to perform all duties.
  • Must be physically able to safely drive a company vehicle day or night, on various road types, and in all weather conditions.
  • Able to safely perform duties during 12+ hour work shift that will include days, nights, weekends, and holidays.
  • Must be flexible and willing to work rotating and fill-in shifts upon supervisor request.
  • Physically able to bend, stoop, kneel, twist, crawl, walk on uneven surfaces, and climb ladders throughout work shift.
  • Physically able to safely lift 50 lbs. without assistance.
  • Physically able to perform duties in all weather conditions including extreme heat or cold.
