Parts Coordinator (Hourly)

Responsibilities

• Ensure consistent execution of the WOW (Wow Operating Way) plan.
• Communicate all customer requests and needs to appropriate team members.
• Work with vendors to order and receive all parts as indicated on repair orders, confirming quality, correctness, and quantity, and accurately identifying parts necessary to complete shop repairs.
• Ensure timely parts distribution to the shop in accordance with the production schedule.
• Enter all parts invoices into the recommended Management Information System (MIS).
• Label and track all parts by the repair order number, store them with the vehicle and/or scheduled repairs, and communicate all parts price changes (Parts Price Increases – PPI) to required team members.
• Order and receive supplemental parts in the MIS, and monitor performance of parts, materials, and sublet vendors.
• Ensure daily reconciliation of the parts vendor invoice history report (e.g., 043 Report).
• Ensure invoices and credit memos are posted and filed/scanned in a timely manner.
• Ensure vendor invoices have the correct negotiated discount to maintain proper profit margins.
• Other duties as assigned.

Requirements

• High School Diploma or equivalent.
• 1–3+ years of experience working with automotive parts (auto body parts experience is a bonus).
• Customer‑service oriented with strong organizational ability to manage pressure, conflicting demands, and prioritize tasks.
• I‑Car registration (working towards Gold Class certification).
• Physical ability to frequently bend, crouch, reach, handle tools, and lift more than 50 lb of materials.

• Working knowledge of vehicle repair practices.
• Experience with Management Information Systems: Summit, Repair Centre.
• Familiarity with Mitchell, Audatex.
• Parts sourcing platforms: Car‑part, Progi, APU, LKQ B2B.
• Solid problem‑solving abilities.
• Above‑average computer proficiency and organizational skills.
• Ability to work well with others and achieve common goals.

Pay

$18.00‑$20.00 per hour depending on experience.
