About the role

The Parts and Billing Agent plays a key role in maintaining accurate inventory, preparing expendables for rental orders, and ensuring proper storage and logging of parts and materials.
Responsibilities
- Prepare orders of average complexity, scan them, and place them in the appropriate transport.
- Maintain parts inventory jointly with the Service Manager, implementing best practices for organization.
- Maintain support expendables inventory (e.g., haze fluid, gel, lamps, tape, cleaning supplies).
- Follow company and industry quality and preparation standards.
- Ensure the warehouse section is organized, clean, and items are stored and maintained properly.
- Provide weekly warehouse change log reports and updates to the LP Service Coordinator.
- Ensure safe and secure transportation and shipment of RMA returns to vendors.
- Prepare Show Supply Parts following all appropriate billing procedures.
- Conduct regular inventory cycle counts and adjustments within the inventory system.
- Receive and distribute parts in Salesforce and D365 for Workorders and Warehouse Part requests, ensuring proper distribution to service techs and warehouse personnel.
- File retirement requests and perform audits between R2 and Salesforce jointly with the Service Manager.
- Perform all other related tasks as assigned.
Requirements
- High School Diploma or GED.
- One year's experience in an audiovisual equipment workshop or the Live Events industry is a plus.
- Knowledge of R2 inventory software (an asset).
- Good knowledge of Office 365 (D365, Excel, Outlook).
- Some knowledge of the Live Events and/or rental industry in entertainment and corporate environments is a plus.
- Knowledge of Salesforce (an asset).
- Teamwork-oriented with well-developed organization skills.
- Ability to prioritize tight deadlines and work under pressure while adapting to change.
- Strong customer service skills.
- Forklift truck driver’s license (an asset).
- Flexible working schedule (an asset).
