Join a fast-moving events team supporting high-visibility partner conferences and sponsorship activations that help drive enterprise growth, brand awareness, and ecosystem engagement. This hybrid, PST-based contract role is ideal for an experienced events professional who thrives on logistics, collaboration, and flawless on-site execution across multiple major industry shows.

Hybrid: In-office 2x/week (Monday and Wednesday Preferred); More during event weeks and onsite at events, as needed.

Responsibilities

  • Support end-to-end execution of partner conference sponsorships, including deadlines, portal submissions, asset delivery, and contractual requirements.
  • Coordinate booth logistics such as build, AV, furniture, graphics, electrical, internet, lead capture, and teardown for large conference footprints.
  • Assist with speaker session logistics, including submission tracking, presentation deadlines, technical checks, and rehearsal scheduling.
  • Help plan and execute co-marketing activations with partners, including development of event-in-a-box resources.
  • Partner with exhibit houses, AV vendors, labor teams, freight, and drayage providers to keep event operations running smoothly.
  • Manage shipping needs for booth materials, demo hardware, and swag for domestic and international events.
  • Track budgets, purchase orders, and invoices in coordination with Procurement and Finance.
  • Maintain vendor scorecards and provide input on preferred partners.
  • Build staffing plans, booth duty rosters, and demo schedules for large on-site teams.
  • Coordinate executive and customer meeting logistics, including room bookings, calendars, and briefing materials.
  • Provide on-site support during load-in, event days, escalations, and load-out.
  • Support lead capture setup and daily lead delivery to Marketing Operations.
  • Maintain sponsorship intake tracking, gather event prospectuses, and support evaluation of new opportunities.
  • Prepare post-event recaps, including performance metrics, budget summaries, and recommendations for future investment.
  • Document repeatable processes, checklists, and playbooks to improve future event execution.

Skills

  • 5+ years of experience in B2B event marketing, tradeshow management, or sponsorship execution.
  • Direct experience managing sponsorship presence at major industry conferences such as AWS re:Invent, Google Cloud Next, and Microsoft Ignite.
  • Proven success supporting large-scale booth activations at major events, including 30x30 or larger footprints.
  • Experience coordinating exhibit house and AV vendor relationships from planning through onsite execution.
  • Strong understanding of exhibitor portals, show services workflows, and sponsorship deliverables.
  • Ability to create staffing plans, run-of-show documents, and operational event logistics from the ground up.
  • Working knowledge of Salesforce and lead capture tools used for pipeline attribution.
  • Experience with procurement and contract management tools such as Zip or Ironclad, or similar platforms.
  • Excellent attention to detail, strong organization, and the ability to manage fixed deadlines.
  • Clear written and verbal communication skills for cross-functional and vendor coordination.
  • Comfort managing multiple activations at once and adjusting priorities as needed.

Preferred Skills

  • Background in SaaS, cloud, or technology partner/field marketing programs.
  • Experience coordinating international event logistics, including freight and multi-timezone collaboration.
  • Familiarity with co-marketing programs and partner MDF processes.
  • Ability to stay calm under pressure and solve problems quickly on-site.
  • Proactive approach to identifying risks, gaps, and vendor issues before they escalate.
  • Strong ownership mindset with the ability to work independently and follow through consistently.
  • Collaborative, low-ego style that supports cross-functional teamwork.
  • Demonstrated habit of creating checklists, playbooks, and process improvements to support scale.
