Key Roles And Responsibilities
- Perform financial management and billing services, including, without limitation:
- Managing District finances on District approved accounting software;
- Preparation of monthly financial statements;
- Monitor expenditures;
- Aid auditor in performing the annual audit, to accomplish timely completion and filing;
- Prepare all deposits and disbursements;
- Annual Budget preparation;
- Manage collection process.
- Prepare and mail annual billing statements;
- Print Payment Receipt Confirmations for online payments through SIPA;
- Record payments and file confirmations;
- Print daily Payport Transaction Reports, confirm all payment confirmations have been received and posted, file;
- Print daily Payport Disbursed Transaction Reports, confirm payment amount, file in Deposit file;
- Receive, record and deposit payments;
- Input checks into Chase’s Security fraud system when written;
- Follow-up on delinquent accounts;
- Communicate with customers;
- Prepare and recording of Liens and Release of Liens.
- Provide administrative management services to the District including, without limitation:
- Ensure compliance with statutory filings with state, county and local entities as required;
- Respond to customer questions, concerns, problems;
- Respond to status letters from Title Companies;
- Correspondence with various governmental entities and others as necessary;
- Communication with mortgage companies to collect fees;
- Communicate with residents, golf course, and school personnel regarding maintenance and repair work;
- Download and review Weekly Permit Activity Report from CHV;
- Review and respond (Comment Letter) to projects when requested by CHV;
- Act as official custodian of all District records, which must be available for public inspection during regular business hours;
- Cookordination and attendance at board meetings;
- Prepare Agenda;
- Prepare and distribute board meeting packets;
- Prepare and file all meeting notices as required by law;
- Attendance at Executive sessions and Special meetings of the Board as appropriate;
- Review draft Minutes;
- Perform statutory filings with various state, county and local entities as required;
- Administration of District elections;
- Serve as the Designated Election Official;
- Attendance at public forums as may be required;
- Management and coordination of services of contractors, consultants;
- Compliance with CRS requirements;
- Consultation with board members;
- Development, oversight and maintenance of District’s Website including, without limitation:
- Cookordination with web tech any changes needed to website;
- Have Notices posted on website;
- Have Meeting Agendas posted on website.
- Bookkeeper/billing experience and knowledge;
- Data entry experience;
- Excel knowledge.
