About the role

The Overview BDAC Operations Support position provides operational, administrative, and facility support for the Utah State Eastern Athletics Department and the Bunnell-Dmitrich Athletic Center. This role supports day-to-day department operations, facility coordination, building needs, scheduling support, purchasing processes, event logistics, and general customer service.

Responsibilities

  • Assist with daily operational needs of the Athletics Department, including but not limited to:
    • Assist with coordinating and maintaining gym schedules for athletic team use, internal calendars, CourseDog entries, and other scheduling systems as assigned.
    • Provide general administrative support for athletics operations, including forms, records, documents, and department communication.
    • Serve as a helpful point of contact for coaches, staff, student-athletes, campus partners, and community members by phone, email, and in person.
    • Aid in the preparation, organization, and tracking of Letters of Intent and other athletics-related documents as directed.
    • Assist with conference, region, and department administrative duties as assigned.
    • Help process purchases, payments, purchase orders, Amazon orders, EZBuy requests, and other departmental purchasing needs under appropriate supervision.
    • Support the preparation, organization, and tracking of Letters of Intent and other athletics-related documents as directed.

    • Assist with annual key audits, facilities requests, and other building-related administrative processes.
    • Provide backup operational support during staff absences, peak athletic seasons, events, and special projects.
    • Travel or assist with department transportation needs as assigned and as qualified.
  • BDA Facility Operations Support
    • Assist with day-to-day operations and facility needs of the Bunnell-Dmitrich Athletic Center, including but not limited to:
      • Assist with scheduling BDAC facility spaces for athletics, campus, community, and event use.
      • Support communication with facility users, campus partners, custodial staff, security, maintenance, and other building stakeholders.
      • Assist with monitoring building needs, workout areas, equipment, storage areas, and shared-use spaces.
      • Identify facility or equipment concerns and assist with submitting maintenance requests.
      • Help coordinate building usage, room setup, space utilization, and storage organization.
      • Aid in managing access needs, building keys, KeyGuard processes, S2 access, and related security procedures as assigned.
      • Aid in supporting part-time building closers, student workers, or facility support staff as directed.
      • Aid in lost and found, surplus items, asset tracking, and building inventory needs.
      • Aid in supporting commencement, athletic events, campus events, community events, and other major BDAC uses.
      • Aid in maintaining a clean, professional, safe, and welcoming facility environment.
    • Event and Game-Day Support
      • Aid in facility setup, tear-down, crowd flow, event logistics, and operational support for athletic contests and special events.
      • Aid in coordinating access, signage, equipment, tables, chairs, technology, hospitality, and other event-related needs.
      • Aid in providing customer service to visiting teams, officials, spectators, campus partners, and community members.
      • Aid in responding appropriately to basic facility needs, questions, or issues during events.
      • Aid in problem-solving during events and communicating issues to the appropriate supervisor.

    Qualifications

    • High school diploma or equivalent.
    • Strong organizational skills and attention to detail.
    • Ability to communicate professionally by phone, email, and in person.
    • Ability to work independently while also taking direction from a supervisor.
    • Basic computer skills, including email, calendars, spreadsheets, word processing, and online forms.
    • Ability to manage multiple tasks, changing priorities, and time-sensitive requests.
    • Dependable, punctual, and able to provide consistent follow-through.
    • Ability to work occasional evenings, weekends, athletic events, and special events as needed.
    • Ability to lift, move, or set up tables, chairs, equipment, supplies, and event materials as needed.
    • Commitment to providing excellent customer service to students, staff, coaches, campus partners, and community members.
