About the role

The OTC Supervisor is responsible for planning, supervision, coordination, and successful execution of all activities related to the OTC operations unit. The OTC Supervisor establishes standards of quality and performance across the OTC operations, including providing guidance on best customer service practices, timely order processing, and monitoring of inventory purchasing.

Responsibilities

  • Oversees departmental personnel in conjunction with the managing leader and Human Resources to include recruiting, hiring, training, performance management, scheduling and payroll, initiating coaching/counseling, and assumes responsibility for other duties related to personnel.
  • Meets on a regularly scheduled basis with Solis Health Plans representatives to review on-going OTC operations.
  • Resolves any grievances or inquiries related to Solis Health Plan members in a timely manner and provides a grievance recap to the managing leader.
  • Prepares operational reports to be provided to the managing leader.
  • Ensures products are rotated, within date, and properly displayed on shelves.
  • Follows Policies & Procedures in handling of outdated or discontinued product.
  • Manages third-party shipping processes required for mailing orders.
  • Collaborates closely with the in-house shipping dispatch agent to ensure the timely and successful execution of all deliveries.
  • Prepares schedules for OTC clerks.
  • Reviews overtime report and ensures communication with staff as appropriate.
  • Maintains a clean and safe department by complying with procedures, rules, and regulations.
  • Establishes a comfortable environment for the customer by showing them that they are dealing with a well-trained professional.
  • Communicates effectively with other professional and support staff in order to achieve positive customer outcomes.
  • Promotes and contributes to a positive, problem-solving environment.
  • Assists customers, family members, and others with concern and empathy; respect their confidentiality and privacy and communicate with them in a courteous and respectful manner.
  • Complies with company policies and procedures and maintains confidentiality of customer medical records in accordance with state and federal laws.
  • Ensures compliance with all HIPAA, OSHA, and other federal, state, and local regulations.
  • Participates in meetings, training, and in-service education, as required.
  • Performs other duties as assigned.

Requirements

  • Minimum of High School diploma or equivalent.
  • Minimum three years (3) experience working with Over the Counter (OTC) Products; experience in dispensing pharmacy setting preferred.
  • Previous experience in pharmacy environment and pharmacy terminology preferred.
  • Demonstrated leadership and management skills required.
  • Pharmacy adjudication platform knowledge preferred.
  • FedEx program knowledge preferred.
  • Excellent computer knowledge is required, including proficient knowledge of Microsoft Office.
  • Fluency in Spanish and English required.
  • Customer relations experience.
  • Must be patient in dealing with an elderly population and sympathetic to hearing or vision deficiencies.
  • Excellent listening, interpersonal, verbal, and written communication skills with individuals at all levels of the organization.
  • Ability to work effectively independently and in a team environment.
  • Ability to read, analyze, and interpret technical procedures or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to calculate figures and amounts, such as discounts, interest, commissions, proportions, percentages, area, and volume.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Strong decision-making and analytical skills.
  • Must be self-motivated, organized, and have excellent prioritization skills.
  • Must be able to work well under stressful conditions.
  • Must be able to work in a fast-paced environment.
