About the role
The Ortho Operational Auditor is a key member of the orthodontic operations team, responsible for auditing clinical and financial workflows across multiple practices to ensure consistency, accuracy, and compliance with company standards. This role is critical in driving operational excellence, identifying process improvements, and supporting cross-functional initiatives.
Responsibilities
- Conduct comprehensive audits of orthodontic patient charts, ensuring treatment cycles align with signed financial contracts. Verify proper coding, chart preparation, and use of required forms.
- Ensure timely follow-up and completion of flagged patient accounts. Document all communications clearly in the patient’s Cloud9 chart to support operational execution.
- Create and present audit findings and reports in Excel to leadership teams.
- Review patient financials for billing accuracy, payment plan integrity, and correct ledger maintenance. Audit insurance claims and payment posting in collaboration with the Revenue Cycle team.
- Assist with account analysis and identify patients who may need to be escalated to collections.
- Manage and complete operational audit projects assigned by orthodontic leadership. Run reports to identify patients exceeding treatment time; apply appropriate codes to flag accounts.
- Track milestones, monitor deliverables, and ensure alignment with departmental goals.
- Serve as a liaison between Orthodontic Operations and other departments, including Over-the-Counter Collections (OTC), Revenue Cycle, Training, and Compliance. Clearly communicate audit findings, trends, and recommendations to Managers, Regional Managers, and Department Leadership.
- Provide data-driven insights to support process improvements and business decisions.
- Generate reports through Cloud9 and Power BI (as applicable). Prepare audit summaries, highlight trends, and recommend corrective actions.
- Maintain accurate documentation of all audits, outcomes, and follow-up actions.
Requirements
- HS diploma or GED
- Proficiency in Microsoft Office Suite, particularly Excel (advanced reporting skills required)
- Strong mathematical and analytical skills; ability to interpret financial ledgers
- Exceptional attention to detail, organization, and critical thinking abilities
- Excellent written and verbal communication skills across all organizational levels
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Solid understanding of orthodontic workflows, documentation standards, and financial protocols
- Self-motivated with the ability to work independently while managing multiple tasks
