About the role

We are a modern and digital tax consultancy firm based in Moers, Germany, serving clients nationwide. We are looking for an organizational talent to join our team as a secretary or office assistant, either full-time or part-time (minimum 30 hours per week).

Responsibilities

  • Support with administrative tasks to ensure a smooth client experience (e.g., client intake, client onboarding)
  • Digital processing of daily communication via our 5f Software Mandantencloud and email correspondence (point of contact for organizational queries, creation and maintenance of digital client files, creation of digital case folders for the processing department)
  • Oral and written communication with clients
  • Digital processing of incoming and outgoing mail, deadline monitoring
  • Order and appointment scheduling
  • Support with invoicing and dunning processes
  • Preparation of document templates, presentations, information sheets, etc.

Qualifications

  • Strong organizational skills, entrepreneurial thinking, and reliability
  • High comprehension, willingness to learn, curiosity, and sense of responsibility
  • Enjoyment of a fully digital way of working, ideally with experience in DATEV, 5f Software, Trello, Calendly, and Microsoft 365
  • Careful and focused approach to all tasks
  • Strong client and service orientation
  • Excellent German language skills, both written and spoken
  • Knowledge of business administration and economics basics (e.g., distinction between types of companies and registers)
  • Basic knowledge of organizing a tax consultancy firm (e.g., deadlines, administrative processes)
  • Team player
