Order Management Associate

About the role

The Order Management Associate is a member of the Order Management Team and is primarily responsible for answering incoming phone calls and distributing them to the appropriate department.

Instrumart’s team of 20+ applications engineers serves as the primary sales force, troubleshooters, and technical support staff, working closely with customers to find the best solutions and providing lifelong product support. As a vital subsidiary of Flow Control Group (FCG), Instrumart acts as a critical intermediary between over 3,000 suppliers and 15,000 customers, over 90 brand companies, and close to 1,700 employees, supporting the movement of mission‑critical components across diverse end markets and applications.

Responsibilities

• Answer incoming calls; greet callers, provide information, transfer calls, or take messages as necessary
• Greet visitors entering Instrumart, determine the nature and purpose of their visit, and notify the appropriate Instrumart contact
• Review and distribute all incoming Sales emails
• Provide order tracking and shipment status updates

Requirements

• Ability and comfort working with computer applications — ample experience working in NetSuite
• Capacity to work with Instrumart’s telecommunications system, Dialpad
• Excellent attention to detail
• Fast and accurate typing skills
• Capability to work in a fast-paced environment
• Ability to communicate in a clear and helpful manner when corresponding with customers
• Skilled time manager with a strong drive toward productivity
• Active listener — giving full attention to what callers are saying, taking the time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
• High levels of dependability
• Excellent communication and collaboration skills to ensure smooth and clear interactions across all departments at Instrumart

Skills

• Familiarity with NetSuite or similar business management software
• Experience using a cloud-based telephone system
• Experience sharing a workload while working as part of a team
• Experience working in an open office environment
